**Position Overview**

The Scheduling Administrative Assistant will play a vital role in supporting our ABA manager with client and employee scheduling, as well as various administrative tasks. This position involves coordinating therapy session appointments, managing therapist schedules, and communicating with clients and their families to optimize service delivery for those receiving ABA services.

**Position Type**
- Part-time, permanent, with possible extension to full-time
- Monday - Friday: 7:30 am - 12:30 pm
- 25 hours per week

**Salary**
- $26.15 - $27.70 hourly, based on experience and qualifications.

**Key Responsibilities**
- Manage and coordinate client services using the online platform.
- Organize and maintain staff schedules through the online platform, collaborating with the team to cover absences due to vacation and illness, ensuring continuity of client care.
- Complete and post daily lunch coverage schedules for ABA clients.
- Develop and manage onboarding schedules for new team members.
- Assist in ordering materials and tracking ABA inventory to ensure adequate resources.
- Address employee scheduling questions and concerns promptly and appropriately, ensuring clear communication.
- Oversee and delegate tasks to ABA employees during administrative shifts.
- Actively participate in regular meetings with the Director of ABA and the ABA Manager.

**Requirements**:

- College diploma in a field related to the position such as Office Administration, Business Administration etc., or a combination of education, experience and training related to the position.
- Experience in identifying important issues related to complex and sensitive initiatives.
- Significant experience in using a variety of software packages such as Microsoft Office Suite (Word, PowerPoint, Excel, Outlook, etc.).
- Minimum of 2 years’ experience in an administrative role (preference given to experience in a clinical setting.)
- Ability to work independently and co-operatively as part of an interdisciplinary team.
- A successful Vulnerable Sector screen.

We are a multidisciplinary team of Speech-Language Pathologists, Occupational Therapists, Social Workers, Registered Behaviour Analysts, Communicative Disorders Assistants, Occupational Therapy Assistants, and Supervised Instructor Therapists, providing exceptional services to children and youth with autism or other developmental disorders/delays and their families.

ACT Learning Centre is one of the local providers of the Caregiver Mediated Program under the Ontario Autism Program (the Play Project) and the only local provider of the Entry to School Program (a school readiness program funded under the Early Years Pillar of the Ontario Autism Program). We have a busy multidisciplinary practice with multiple locations throughout Ottawa and a growing private practice in Kingston.
