As an integral member of the team, you will be responsible for preparing, managing, and filing documentation for all our projects. You will ensure the proper documents are created and signed, that all data is accurate and that documents are stored and backed up and any retention policies are followed. To be successful in this role, you should have previous experience reviewing technical documents along with the ability to spot errors. Vendor documentation experience is considered an asset.

**Key Duties and Responsibilities**

**Projects**:

- Prepare and transmit time sensitive document packages such as turnover packages, Requests for Information, etc.
- Receive and issue documents from multiple clients and manage multiple priorities and projects at once
- Facilitate vendor document squad checks to ensure stakeholder review and expedite vendor transmittals as required
- Ensure document control function is being performed in accordance with corporate procedures and project requirements in a timely and efficient manner
- Communicate status of documents to the project services team
- Facilitate and track the flow of information and communication between clients, vendors, staff and subcontractors in order to expedite deliverables
- Maintain document control logs
- Organize and archive electronic and hard copies of project documents
- Proof document packages to ensure that formatting, etc. are consistent
- Assist in the creation of Standard Operating Procedures in document control
- Support team members in completion of their duties, as required

**Build and Cultivate Client Relationships**:

- Engage current and potential clients in the Calgary marketplace
- Cross sell engineering and/or construction services to clients
- Support business development and add to our seller/doer culture
- Provide exceptional client service - dependable, responsive, sensible

**Office Leadership**:

- Contribute to a dynamic workplace culture in Calgary
- Other duties and responsibilities as required.

**Qualifications**

**Skills and Experience**:

- Self-motivated, detail oriented professional with 5+ years of related experience managing documents in the oil and gas industry
- At least 2 years of experience in managing and updating spreadsheets in MS Excel would be a strong asset
- Post-secondary diploma in Information / Document Management or equivalent would be considered an asset
- Self-starter with the ability to work independently when required
- Strong experiences with interdisciplinary coordination
- Comprehensive working knowledge of Microsoft Office products
- Valid drivers license required

**Working Conditions**

Federation believes in providing flexible working arrangements for our office personnel. The Calgary office is located downtown in order to be proximate to the offices of our key clients but working from home is also an option.

From time to time, travel to client sites or other Federation offices may be required (up to 10%).
