Bouygues Energies & Services, a leading facilities management company across Canada, is seeking a full-time Facility Administrator to join our administration team at the RCMP Divisional Headquarters in Surrey, BC. This state-of-the-art facility is a 35-acre multi-building complex.

Reporting to the Administration Manager, the Facility Administrator will coordinate parking activities for the site. This person will perform data analysis, reporting, financial transactions, permit distribution, and develop, interpret and communicate parking policies and procedures to facility users.

Please note that individuals working at this location must be double vaccinated and must be able to obtain a high-level government Security Clearance. For this Clearance, you must have resided in Canada for at least five (5) years and have no criminal record.

This role is a salaried position Monday through Friday (daytime hours).
- At least 2-3 years of progressive administrative experience;
- Experience working as part of a large administrative team in a professional setting;
- Proficiency in Microsoft Office;
- A typing speed of at least 55WPM and a high attention to detail;
- Excellent English communication skills.

In this role, some of your duties and responsibilities will be to:

- Assist in the regulation of the parking service using available parking spaces and adhering to the Parking Guide.
- Maintain parking records and generate reports as required.
- Conduct annual record audits to ensure parking information is up-to-date.
- Maintain, monitor and compile statistical information.
- Update permit holder details, such as license plates.
- Place accounts on hold, re-activate accounts and cancel accounts.
- Manage and issue permits using appropriate software.
- Manage the waitlist and associated inquiries, advising when parking becomes available and providing appropriate guidance on the registration process.
- Assist the facility management team in the effective management of sub-contractors, administering all paperwork and ensuring records are accurate and auditable.
- Ensure that all paper and computer filing is effectively managed and maintained to provide for ease of access to data;
- Develop and maintain various manuals, operational plans, policies, and procedures;
- Coordinate, organize and record meetings (meeting minutes) in an effective and timely manner;
- Scan and e-file soft copies of documents and records and file hard copies of documents and records.
- Perform all other assigned general office administration duties.
