We’re looking for a proactive and organized Office Administrator to help keep our operations running smoothly from the front lines of our office.
**Job Overview**:
As an Office Administrator, you will play a key role in supporting daily administrative operations. You’ll interact with customers, vendors, and internal staff, helping manage schedules, documentation, communication, and various office tasks. This position is ideal for someone who thrives in a fast-paced, hands-on work environment.
**Key Responsibilities**:
**Administrative Support**:
- Schedule and coordinate service calls and job orders
**Job and Service Coordination**:
- Assist in preparing estimates, work orders, and invoices
- Input and update job details into spreadsheets
- Communicate with technicians to ensure jobs are scheduled and completed efficiently
- Track project timelines and help with follow-ups to ensure customer satisfaction
**Accounting & Data Entry**:
- Assist with data entry for accounts payable/receivable
- Help with basic bookkeeping tasks (QuickBooks experience is a plus)
- Organize receipts, time sheets, and other job-related documents
**Document Management**:
- Maintain organized digital and paper filing systems
- Prepare reports, forms, and other documentation as needed
- Ensure compliance with company procedures and safety documentation
**Customer Service**:
- Handle customer inquiries and service requests promptly
- Provide basic information about services, quotes, and scheduling
**Requirements**:
- Proven experience as an office Administrator, administrative Administrator, or similar role
- Excellent written and verbal communication skills
- Strong organizational and time-management abilities
- Proficient with Microsoft Office (Word, Excel, Outlook)
- Experience with QuickBooks is a plus
- Ability to multitask and work independently in a busy environment
- Post-Secondary education required
- Familiarity with industrial service environments, especially docks and doors, is a bonus
- Fluency in English and Punjabi or Hindi
