ROLE PROFILE:
Position: Executive Assistant
Reports to: Chief Human Resources Officer and Executive Vice President & Senior Vice President and General Counsel
Location: Hybrid (Remote and Work from Head Office 3x a week, Markham, Ontario)
Scope: Supporting executives with calendar management, travel and reimbursement expenses, day to day administrative tasks and meeting coordination. This is a great opportunity for a Senior Administrative Assistant who would like to take the next step in their career into an Executive Assistant role.

Key Responsibilities:

- Supporting two Senior Executive Team Members (EVP & SVP) with all executive and administrative matters in all areas under their respective responsibilities
- Compiling data and reports, preparing agendas and meeting packages, and responding to routine formal written correspondence; coordinating meetings and teleconferences
- Supporting with expense reports
- Arranging and booking corporate and personal functions for the EVP & SVP
- Coordinating meeting agendas and materials where EVP or SVP is the chair, taking and distributing minutes and following up and reporting to the EVP or SVP
- Dealing with issues and tasks on behalf of the EVP and SVP as directed, often in high pressure situations
- Managing the daily schedule for the EVP and SVP, rationalizing and prioritizing competing demands from various sources from within and outside the organization
- Communicating in person and through correspondence with high level contacts inside and outside the organization such as vendors and senior leadership
- Maintaining strict confidentiality on all matters
- Proactively creating and maintaining effective workflow and communications to accomplish the work of the Operations office which includes the handling of a variety of projects and tasks simultaneously.
- Performing other duties as assigned.

Education & Experience:

- 7 - 10 years of experience supporting Executive level management at a publicly traded organization
- Advanced proficiency in MSWord, Outlook, PowerPoint and Excel
- Possesses the initiative and ability to perform tasks without being asked, and achieve desired results without having to wait for answers or direction.
- Ability to handle multiple tasks and changing priorities while maintaining a high degree of accuracy.
- Demonstrated experience to build effective business relationships with high profile internal and external clients.
- Proven ability to effectively function in high stress situations.
- Ability to adapt to a fast paced and ever changing environment.
- Effective verbal and written English communication skills required
