**Job Description**:
We are seeking a knowledgeable facilities coordinator who will support the Facilities Manager to ensure the optimal working environment for all RODEO FX's facilities. In this role, they will be responsible for all daily support activities and will arrange for repairs when needed.
To ensure success, the facilities coordinator should exhibit good decision making skills, time management skills, and have the ability to communicate and liaise with contractors on any type of project.
**MAIN RESPONSIBILITIES**
- Ensuring the proper upkeep of Facilities tickets, tasks, daily maintenance and special requests of the studios, including the coordination of tasks with the facilities team and external vendors;
- Able to perform small handyman tasks when needed and participate in specific projects with the facilities team, some tasks can include changing light bulbs or assistance with desk movements etc..
- Assist the Facilities Manager with construction, renovation and maintenance projects. Responsibilities will include liaising with the contractor and coordinating some of the work as well as following up on deficiencies;
- Maintain all asset inventory of all company property;
- Accountable for proper planning and coordination of regular preventative maintenance;
- Update and maintain a current list of suppliers and service providers. Request, analyze and negotiate quotes for equipment, materials and services and submit bids for approval.
- Prepare P.O.s for purchases and follow up on invoices. Communicate regularly with suppliers (housekeeping, contractors, etc.) to ensure quality service and good relationships;
- In collaboration with the reception team, manage the Montreal condos (cleanliness and good condition of the premises, manage the ekey, coordinate the cleaning according to the visitors, etc).
- Assist in workspace planning, updating and execute plans for employee office moves;
- Produce and update various reports;
- Perform other administrative tasks and participate in specific projects with the facilities team;
**Qualifications**:
- 3-5 years of experience in a similar position;
- DEP in Administration or another related field is an asset;
- Facilities Management Professional accreditation is an asset;
- Ability to operate Google Suite;
Fluent verbal communication skills in English and French, functional written skills;
- Ability to lift, transport, push and pull heavy loads;
- Ability to walk and stand for long periods of time;
- Autonomy, organization, attention to details and initiative.
