**ADMINISTRATIVE ASSISTANT**

**QUALIFICATIONS**
- Post-secondary diploma in office administration or equivalent experience
- Highly organized, with excellent planning and time management skills
- Reliability, accuracy and attention to detail
- Fast learner, able to take initiative and problem solve
- Excellent interpersonal skills, including judgement, tact, integrity and patience
- Excellent spoken and written English, including proofreading skills
- Able to maintain confidentiality
- Computer proficiency, including knowledge of Windows environments and advanced Microsoft Office skills (Word, Excel, and Outlook)

**RESPONSIBILTIES**

**Administrative Support**
- Answer telephone and take member inquiries
- Process A/R and A/P, including Interac
- Provide word processing and other computer support
- Maintain co-op records and prepare correspondence
- Maintain adequate inventory of office equipment and supplies
- Type and file minutes
- Direct members and actions to appropriate committee
- Assist in annual, corporate and government filing and reporting

**Financial**
- Prepare cheques
- Make bank deposits
- Assist in preparation of monthly financial packages including bank reconciliation, income register, and cheque register
- Assist in preparing and submitting property taxes
- Assist in completing income verification

**Member recruitment support**
- Undertake credit and landlord checks
- Assist in move-in and move-out unit inspections
- Co-ordinate and administer move-in and move-out process
- Assist and co-ordinate interviewing and viewing of units for prospective tenants/members
- Process necessary documentation for new members

**Maintenance co-ordination support**
- Administer work order tracking system
- Maintain inventory of maintenance equipment and supplies
- Administer service contracts

**Other**
- Assist in co-op marketing, including advertising and organizing co-op orientation sessions
- Perform other duties when required and as directed by the Management and Maintenance Coordinator

**CONDITIONS OF EMPLOYMENT**

This position may be based on site in the office of multiple housing co-operatives with frequent activities in and around the lower mainland.

**Job Types**: Full-time, Permanent

**Salary**: $3,545.00-$4,027.00 per month
