**Job Overview**:
We are seeking a full-time detail-oriented, technology-savvy, and proactive Administrative Assistant to join our company. We are a hybrid work environment located in Vancouver, BC with team members located across North America. The Administrative Assistant will provide administrative, technical, and logístical support to key leadership team initiatives around market expansion in Canada and the US. The role has the potential to grow into an Administrative Management position in the next 6-12 months.

**Key Responsibilities**:

- Performs general office functions
- Purchases and organizes office supplies and materials
- Provides administrative support to the executives, including scheduling meetings, taking minutes at meetings, and arranging travel.
- Assists with company meeting preparation and logistics, including scheduling, agenda creation, and minute-taking.
- Provides admin support to operations:

- Perform data entry tasks, ensuring accuracy and confidentiality of information.
- Assists with bookkeeping and financial transactions, including but not limited to assisting with invoicing and receivables, managing purchase orders.
- Assists with HR functions including new employee office orientation, and record confirmation etc
- Prepare, file, and manage expense reports.
- Files documents according to instructions and maintains a clear and accessible filing system in consistent with documentation management protocols.
- Provides marketing and event support:

- Works with key leadership team members to plan and execute the company’s presence and footprint at conferences.
- Supports marketing campaign planning and execution.
- Updates website content and supports social media campaigns.
- Performs or assists administrative activities for Enterprise Resource Management Systems such as NetSuite, HubSpot, BambooHR, PandaDoc, etc.. Training will be provided in these systems as needed.

**Qualifications**:

- High school diploma or equivalent; Associate's or Bachelor's degree preferred.
- Previous administrative experience, preferably in a fast-paced tech environment.
- Excellent organizational skills and attention to detail.
- Strong communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite and Google Suite.
- Ability to manage multiple tasks and prioritize effectively.
- Interest in marketing and a desire to support marketing initiatives.
- Ability to work independently and as part of a team.
- Discretion and confidentiality in handling sensitive information.
