**Role Overview**
Under the direct supervision of the Senior Director People and Culture, the Benefits and Payroll Administrator will provide administrative and payroll support to the People and Culture team and Payroll Supervisor.
**Primary Responsibilities**:
**Administrates the benefit programs**
- Provides information and communication with staff re: current benefit plans; including signing up new and existing staff when a status change occurs, updating HR and Payroll Systems (HRIS, Quadrant), Benefit (Manulife), RRSP and Pension (OPTrust)
- Fills out all the necessary documentation to sign/waive/change employee benefits; enters all change in the HRIS system and updated Benefit system
- Liaises with employees/Insurance Carrier regarding claim statuses
- Updates benefit brochures if any changes made
- Provides information for employees going on maternity leave, leave of absence, retirement; enter all the changes into HIRS system; notifies appropriate providers of status changes (including retirees, maternity leave, sick leave etc.)
- Develops, prepares and conducts new employee benefit orientation, including a comprehensive overview of applicable benefit plan for Regular Full Time, Part Time and Contract (bargaining and non-bargaining) employees (health, dental, STD/LTD, group life insurance, AD&D and other insurances, RRSP, OPTrust) in accordance with the collective agreement and relevant policies
**Status form updates**
- Manages the Status form inbox in consultation with the HR team
- Makes all necessary changes in HRIS system to reflect employee benefits and deduction changes; status changes, position changes, department changes etc.
- Updates address changes, banking information, etc. of all employees
- Runs reports from HRIS system
- Enters grid changes/updates for OPSEU and Non-Union employees by working with the Senior Director People and Culture and the Payroll Supervisor
- Enters Probation and Bi-annual performance appraisals in HRIS
**Provides administrative support**
- Updates and issues seniority lists (2X/year)
- Provides temporary employee list every two weeks to OPSEU
- Tracks OPSEU employees who have not picked up six consecutive shifts, initiating termination
- Drafts letters of employment on employee request
**Payroll**
- Works with the Payroll Supervisor to ensure status form changes are inputted into HRIS in a timely manner
- Process payroll when Payroll Supervisor is on leave
- Participates in payroll/benefit audits on a regular basis to ensure the accuracy of data
**Other Responsibilities**:
- Adheres to all Cota’s policies and procedures and follows established applicable program guidelines, procedures and practices
- Adheres to all applicable legislation, in particular, the Ontario Human Rights Code.
- Complies with all Health and Safety policies and procedures to ensure the protection of workers and clients and that health and safety concerns or incidents are responded to promptly- Works cooperatively, respectfully and constructively with clients, team members, management, other service providers, and external stakeholders
- Ensures that confidentiality of clients, employees and Cota information is maintained at all times
- Undertakes other related and/or delegated duties, as assigned
**Education and Experience**
- One to three years of Human Resources experience combined with administrative / payroll experience.
**Knowledge and Skills**:
