The role

Currently, RECO’s regulatory assessments are executed end-to-end by a third-party exam vendor. This includes exam development, in-person and online exam delivery, exam security, and learner support. RECO’s role is to oversee the operations of the exam vendor aligned to their Statement of Work, industry best practice and regulatory standards. In addition, RECO is responsible for overseeing the conduct of its learners and to take action to safeguard its examination program. The Coordinator, Assessment Services plays a key role in supporting RECO’s administration activities as they relate to exam integrity and regulatory compliance.

Position responsibilities

Exam Administration
- Track and coordinate questions, decision logs, risks and issues from various internal and external stakeholders.
- Develops a thorough familiarity with and understanding of vendor Statement of Work and exam delivery requirements as well as the contractual obligations of RECO’s Exam Vendor.
- Monitors vendors processes for adherence to their contractual obligations in activities related to Exam Integrity and Compliance, and flags any issues, concerns and/or risks for review by Supervisor.

Incident Monitoring & Investigation Support
- Review exam sessions, any associated flags/incident reports, and data to identify risks or next steps in accordance with RECO policies.
- During exam sessions reviews, proactively monitor for any signs of rule violations or technical issues.
- Document and report any exam irregularities, such as academic dishonesty (cheating, proxy testing) or content breaches.
- Support the investigation of incidents by gathering evidence (incident reports, video footage, forensic psychometric data) and prepare detailed reports for review by Supervisor and Registrar’s Designate.
- Recommend follow-up actions in line with the RECO’s exam policies (e.g. invalidating results or initiating misconduct sanctions).

Security and Integrity Enforcement
- Monitor compliance with exam rules and security protocols.
- Review exam sessions on vendor’s platform and ensure adherence to security best practices.
- Monitor web and social media platforms for exam-related content breaches, cheating discussions, or leaked materials, and escalate findings in accordance with internal protocols.
- Stakeholder Communication and Engagement:

- Serves as the primary liaison with sanctioned learners, communicating RECO’s sanction decisions. Also handles and documents grievances related to sanction decisions.
- Documents grievances related to exam administration, results and exam content, and escalates to relevant stakeholders (eg. Supervisor, Assessment Services & Psychometrics).
- Facilitates effective communication between learners and internal teams, such as the exam vendor and educational Designates, to investigate issues and escalate unresolved matters as necessary.
- Responds to inquiries and resolves issues raised by vendor and escalates as required to Supervisor or other stakeholders.

Audit Documentation Management
- Participate in routine audits of exam program, to ensure adherence to exam policies and procedures.
- Maintain thorough and organized audit documentation, tracks findings, and compile information for the team’s annual program audit activities.

Data Management and Audit Support:

- Maintain accurate records of exam performance data, vendor summary reports, survey results, and other documents as needed.
