Key initiatives include ensuring our Human Resources Systems are managed effectively and efficiently while we continuing to grow our team and HR programs. This also includes providing executive support with business reports and documents. A detailed list of the responsibilities include (but not limited to) the following:
**Key Responsibilities**:
**1. Human Resources (70%)**
- **Recruitment & Onboarding**: Post jobs and schedule interviews. Draft offer letters/agreements for approval. Obtain approval prior to posting all positions. Conduct all new employee orientations.
- **Compensation & Benefits**: Help coordinate annual review process (draft annual salary increase letters, etc.) Create salary increase letters during annual review process. Answer all benefit inquires and coordinate concerns and questions with providers.
- **Policies & Procedures**: Update employee handbook with approved policies. Keep employees up to date and submit for their review and confirmation.
- **Records Management** Track and update all employee changes and documents on Bamboo HR. Generate reports, maintain and update all electronic files (and paper when needed). Ensure Bamboo HR (our HRIS system) is fully utilized and kept up to date. Learn the system to develop efficiencies for the HR team and company. Be known as the company “expert” on the system.
- **Social Committee** - Create and lead the social committee.
- **General HR Administration and support**: Research any HR initiatives or legal requirements. Complete any ad hoc HR projects. Provide back up for the Office Manager during busy periods and/or during vacation periods.
**2.** **Executive Administration (30%)**
- ** Calendar Management**: Own the President’s and other executives’ calendar like it was your own. Schedule and coordinate meetings. Prioritize and handle any conflicting priorities.
- **Business Documents**: Prepare business documents and edit/proofread PowerPoint presentations. Prepare presentable documents and materials from notes provided using MS Word and Excel or another MS Office program. Collect and analyze information.
- **Event and Meeting Coordination**: Attend applicable management meetings and take minutes by documenting all key updates, issues and action items. Organize events including other regular meetings (including booking rooms, catering, etc.) as needed. This may also include organizing any company employee events.
- **Budget Preparation**: Assist as needed during annual budget preparation
**Knowledge/Skills/Abilities**:
- Business or HR diploma and/or degree or equivalent.
- 3+ years’ experience as an Administrator working with executives and in HR.
- Strong working knowledge with MS Office products as well as comfortable working in Google Suite.
- Previous experience working in a HRIS (we use BambooHR) would be beneficial.
- Embraces technology and loves to find new ways to use it for efficiencies.
- Previous experience working in a high tech or small company is considered an asset.
- Excellent English communication skills both oral and written.
- Proven ability to develop strong working relationships with executive team to anticipate needs. Ability to work independently and prioritize work activities.
- Highly professional and ability to work with confidential matters. Maintain a high level of confidence when managing sensitive information including documents.
- Energetic and enthusiastic with a “can do” attitude. Willing to jump in and help when situations arise. Be approachable to develop relationships with all employees.
- Ability to prioritize, multi-task and work independently in a fast past and constant changing environment and understand the sense of urgency.
- Willing and able to travel to Victoria office from time to time to collaborate with other team members.
