**We Are Looking For**
A Leasing Administrator who is committed to providing superior administrative support while delivering exceptional customer service.
This full-time, permanent position reports to the Senior Leasing Manager and is a key member of our team.
**What You’ll Do**
Perform administrative duties for new and existing Melcor properties. This includes:
Document Preparation
- Prepare and file letters of interest, letters of intent, offers to lease, lease agreements and amendments, condition waivers and extension letters
- Prepare and manipulate all Request for Proposal (RFP) responses when applicable
- Assist with various reports and presentations (ie: RFP submissions, executive presentations, demographic reporting, marketing of properties)
- Facilitate the signing of physical and electronic documents
Data Management
- Maintain site plan and floor plan files
- Manage lease templates for multiple commercial properties spanning all asset classes
- Conduct preliminary review and provide summaries of offers to lease, leases and other formal lease related documents throughout negotiations
- Track and prepare tours for vacant space when applicable
- Update internal information system reports
- Provide updated information for maintenance of the external leasing website
- Facilitate and provide summaries on prospective tenant credit reports and coordinate all documentation, including deposit cheques and associated transaction related invoices
- Coordinate corporate searches on prospective tenants
- Track condition dates and update development & leasing teams on upcoming dates and transaction milestones
Broker Liaison and Marketing
- Assist in preparation of tenant packages as required
- Relay leasing related information to Listing and Tenant Brokers
- Maintain all internal listing brochures for distribution of mailers, flyers, and other promotional programs
- Other administrative duties as required
**About you**
- You have a degree or diploma in business or equivalent experience.
- You have a minimum of 3+ years in a similar role.
- You build strong relationships with internal and external customers such as coworkers, tenants and brokers.
- You have proficient PC skills (Word, Excel, PowerPoint).
- You have a commitment to collaboration, accountability and focus on results.
- You are a quick learner.
- You are comfortable with preparing proposals, waivers, offers, contracts, etc.
- You are comfortable with working independently with mínimal supervision.
**Extra Points For**
- You have experience working with leases.
- You have experience as a paralegal or in commercial real estate.
