**Position Reports To**: Executive Assistant to the CEO, Finance and Investor Relations

Position Overview

Reporting directly to the Executive Assistant, CEO, FInance, Investor Relations, the Administrative Assistant will be responsible for providing administrative support for the departments at the Corporate office, and will work with the Executive Assistant to complete general office duties.

Key Responsibilities

Support key areas of work including, scheduling of meetings and calendar management, booking travel arrangements for site visits, coordination of policy review, administrative support regarding projects and assuming associated duties in support of day-to-day business needs
Invoice management, SAP Ariba purchase requisitions/order creation for all Corporate departments, and preparation of requested expense reports and reclassifications
Acts as the central point of contact for handling incoming and outgoing couriers and tracking same for carbon footprint records
Develop, format and proof Microsoft Word documents & PowerPoint presentations
Replenishment of office stationery, kitchen supplies and provide support for office related issues, such as service requests with building maintenance
Support the Executive Assistant to the CEO & Finance regarding office management (i.e. office supply requests, Iron Mountain storage, organizing corporate office social events and ordering company merchandise)
Support with administration of Donations & Sponsorship Platform (Optimy)
Other ad hoc duties as required

**Qualifications**:
Minimum 2 years of experience in an administrative role
Post secondary diploma or certificate in office administration program
Dedicated and focused; able to prioritize and complete multiple tasks and follow through to achieve goals
Able to grow positive relationships with colleagues at all organizational levels
Excellent verbal and written communication skills
Outstanding organizational, planning and prioritization skills
Attention to detail and accuracy
Proven ability to handle confidential information with discretion
Be adaptable to various competing demands
Good sense of judgement and ability to take initiative to act with a sense of urgency
Process improvement mindset
Proficient in Microsoft Word, Excel, Outlook and PowerPoint
Experience with SAP and Concur
