Islamic Relief Canada is looking for a full time facilities administrator to maintain smooth daily operations within the 3 Burlington office units. The Facilities administrator will work with the HR team to ensure the Islamic Relief Canada office is a safe, well maintained and healthy environment for all staff.

To ensure success, the Facilities Administrator should be flexible, able to problem solve in ad-hoc or novel situations, and have an understanding of office operations.

**Essential Duties & Responsibilities**:
Lead office organization initiatives through establishing and maintaining systems for all storage spaces

**Lead renovation for new additions to the office**: including working with handymen and contractors to execute plans while maintaining budget
Be apart of the Joint Health and Safety Committee and conducting quarterly office inspections, reporting and addressing potential safety hazards
Oversee the organization and regular maintenance of the warehouse including accepting and coordinating deliveries for all departments
Liaise with external parties to ensure maintenance of outside facilities: check-ins with condo manager, windows, doors, lawn, caulking etc.
Work with existing vendors to ensure regular office maintenance: HVAC, pest control, plumbers, cleaning staff, etc.

**Respond to facilities-related emergencies**: flooding, HVAC system not working, plumbing/water not working etc.
Coordinate large deliveries and ensure proper intake and storage
Coordinate supplies orders across all office units
Propose solutions to make office units more energy efficient, environmentally friendly and COVID safe
Coordinating domestic travel for staff
Support the wider HR team with administrative tasks such as scheduling interviews, organizing staff training, engagement initiatives etc
Other Ad Hoc duties as assigned

Qualifications & Competencies

College Diploma (2 years) or acceptable combination of equivalent experience.
Minimum 1 year related experience in facility maintenance
Working knowledge of Health and Safety protocols
Excellent communication skills to liaise with vendors
Adaptable to a fast paced, ad-hoc environment
Excellent communication (written and oral) skills.
Solid organizational, interpersonal and problem solving skills.
An ability to exercise good judgement, tact and maintain confidentiality.
High degree of accuracy and attention to detail.
Demonstrated ability to prioritize and complete many competing demands.
