**Position Title**: Event Specialist
**Position Summary**
As our Event Specialist at Ingaged Creative Productions, you will be responsible for delivering exceptional experiences through outstanding client service, smooth coordination, and hands-on event execution. Reporting to the Event Production Manager and working closely with the operations and technical teams, you will support all phases from client communication and logistics coordination to on-site setup and post-event wrap-up. During non-event periods, you will assist with client inquiries, organize and maintain inventory, manage transportation and equipment upkeep, and collaborate with colleagues on broader service needs. This position is ideal for a proactive, flexible, and detail-oriented team player who enjoys problem-solving, embraces adventure, and thrives in a fast-paced, collaborative environment.
**Key Responsibilities**
**Event Operations**
- Assist with the setup, operation, takedown, and maintenance of A/V equipment for virtual, hybrid, and in-person events
- Deliver professional and timely client service before, during, and after events
- Prepare and test multimedia content, including presentations, video, and audio assets prior to live events
- Troubleshoot and operate A/V equipment and video conferencing platforms (including Zoom & Breakout Room, Microsoft Teams, OBS, etc.)
- Collaborate with various departments to plan, prepare, and organize presentations and multimedia content
- Use an established naming convention to maintain organized documents for multiple concurrent events
- Perform with precision and attention to detail under pressure, particularly during live event operations
- Communicate clearly with clients, presenters, and team members to ensure event success
**Pre-Event and Day-Of Support**
- Work with production and operations teams to anticipate and resolve technical or logístical issues
- Set up video conferencing, audio systems, and presentation equipment
- Coordinate event content, including presentations (PowerPoint, Google Slides, Canva, Adobe Acrobat), and video assets
- Support video conferencing requirements, including admin setup, printer operation, signage stand maintenance.
- Collaborate internally and externally to find the best streaming and audio-visual systems for each event
- Manage stage changes, audience flow, and equipment handoffs during live sessions
- Provide real-time technical support during events, troubleshooting A/V issues as needed
- Participate in teardown, ensuring equipment is organized, transported, and stored properly
- Maintain and manage A/V inventory, performing routine testing, maintenance, and repairs
**Client and Onsite Support**
- Be prepared to assist with registration desk operations, including welcoming guests, check-ins, and material distribution
- Ensure signage, schedules, and event information are accurate and accessible
- Maintain clear, professional communication with clients and event participants
- Provide technical assistance to delegates, speakers, and talent during rehearsals and live events
- Prepare, test, and format client media content for optimal quality during events

**Requirements**:
- Experience in customer service, hospitality, or event coordination
- Strong verbal and written communication skills
- Proficiency with Google Workspace (Docs, Sheets, Slides, Drive)
- Excellent problem-solving skills and adaptability in fast-paced settings
- Friendly, collaborative, and able to work effectively in a team
- Ability to lift and move up to 50 lbs
- Valid Class G driver’s licence
- Travel up to 75%, including extended trips of more than one week, based on event schedules
- Must have or be able to maintain own vehicle insurance and drive rented or company vehicles
**Hours**:
- Full-Time: Up to 37.5 hrs/week or Part time 20hrs/week
- Regular Office Hours: 8:30 AM - 4:30 PM Monday to Friday
- Flexibility for Evenings, Weekends, and Occasional Holidays
**Bonus Points**
- Experience and/or lived knowledge of Indigenous histories, cultures, and perspectives is highly valued. Additionally, experience engaging or collaborating respectfully with Indigenous communities is considered an asset.
- Background in electronics, audio/visual technology, event technology, media production, or broadcasting
- Proven success in a collaborative, fast-paced team environment
- Experience driving larger vehicles such as an 18ft box truck is an asset.
