Primary Responsibilities
- Complete a broad variety of administrative tasks for the Director of Food & Beverage including: managing calendar of appointments, completing expense reports, composing and preparing correspondence that is sometimes confidential, arranging itineraries, and agendas where required.
- Researches, prioritizes and follows up on incoming issues and concerns and provides the Director with the necessary information for action, or response.
- Provide leadership to build relationships crucial to the success of the department, and manage a variety of special projects for the Director.
- Serves as minute taker for Social, Dining & Events Committee, departmental, and other meetings as requested; ensures advanced distribution of materials before meetings, as well as post-meeting documentation
- “Gatekeeper” for back office processes in Club’s Northstar system; reviews any issues or concerns on a daily basis with management team; maintains and updates point-of-sale for all Food & Beverage outlets; creates PO’s for expenses when required.
- Compiles information, processes and issues all necessary reports that are required by the Director, in cooperation with the Controller
- Responsible for monitoring specific expense lines including unallocated uniforms, printing and stationary, and menus
- Manages all office supply ordering for Food & Beverage department and adhering to set budget
- Maintains files and menu archives including collateral for any department promotions
- Responsible for all menu creation, drafts, and printing with approval from the Communications Department.
- Provide Food & Beverage management on duty coverage as required.
- Responsible for gathering marketing and promotional ideas for Food & Beverage events; maintaining the timelines and updating of the Food & Beverage calendar
- Prepares and liaises with the Communications department, on behalf of the Food & Beverage department, all work orders and Granite News F&B event listings
- Acts as a liaison between Management and Staff in regards to absence, payroll issues, vacation, etc.
- Handles all paperwork on behalf of the Director in regards to absence requests, progressive discipline, accident report forms and any other related documentation.
Required Qualifications
- A minimum of 5 years experience in administrative role in a similar Food & Beverage Operation or non-profit organization.
- Hospitality Management / Bachelor of Commerce / Business Administration degree required.
- Must be able to read, write & speak English fluently.
- Ability to handle a wide variety of situations and prioritize effectively.
- Good understanding of basic accounting functions.
- Proficient computer skills necessary, efficient in Microsoft Office Applications.
- Knowledge of Northstar software an asset.
- Ability to manage stress and pressure situations effectively.
- High energy level and self-motivated.
- Must be a facilitator, goal orientated and a team player.
- Brings confidentiality, special knowledge, diplomacy and tact to the position
