**Administrative Assistance Position**:
Vancouver Island Business Enterprises (VIBE) currently has a vacancy for an administrative assistant. The primary accountabilities for this position consist of providing administrative support to the Property Managers and Director of Operations. The position requires you to be a creative problem solver, have good listening skills, patience and flexibility.

Some of the Key

**Responsibilities**:

- Support co-op management team with administration including filing, assembling documents, record keeping and meeting minutes
- Maintain office supplies and equipment such as telephones, printers and copiers
- Create and maintain new project files for office and co-op sites
- Managing and coordinating on-site and off-site storage and document archives
- Professionally answer all incoming calls; greet visitors in a friendly and professional manner
- Distribute daily mail, receive and process all courier packages in a timely manner
- Ship packages and mail when requested by courier using appropriate courier service.
- Assist director of operations with calendar, schedule, administrative support and expenses
- Order office supplies for main office as well as co-op sites
- Assist with processing of monthly housing charge payments by EFT
- Process deposits for buildings
- Assist co-op manager with income reviews
- Deliver notices to housing co-ops
- Assist with input of AR and AP data into accounting system
- Process invoices for payment

Qualifications and Skills
- Experience with Microsoft Word and Excel
- Time management skills, high accuracy and attention to detail.
- You must be able to demonstrate strong interpersonal skills and the ability to work independently with minimum supervision as well as within a team environment.
- Experience or knowledge of Co-operative housing an asset
- Room for advancement

This is a full-time position (40 hours a week) The hours of work are typically 8:00am to 4:00pm, however the position may require some flexibility with hours and the occasional evening meeting. The position may require you to work at various locations; applicants must have their own vehicle.

Pay: $48,000.00-$55,000.00 per year
