We are seeking a professional, resourceful, team-oriented Executive/Office Administrator to provide diverse and advanced administrative support for the CEO and small team. The Executive/Office Administrator will work with and report directly to the CEO and will provide expertise and support in the areas of:
- Meeting scheduling and calendar management
- Minute taking and tracking of action items
- Customer care and communications
- Business development & appointment setting
- Creating presentations, reports and sales proposals
- Investor communications and creating pitch decks
- Project management support to Project Managers with the opportunity to lead small projects and events
- Physical and electronic filing & management
- Database/document management
- Accounts receivable / payable, payroll (light bookkeeping) and reporting
- Expense management and reporting
- Internet and market research
- General office administration, organizing etc.

This position is a PART-TIME, virtual, hybrid, work-from-home position, however, you will be required to attend meetings in person 1-2 days per week.
With a focus on outcomes, the hours are flexible, allowing for tasks to be completed throughout the week during core business hours from 9am to 4pm. To start hours will be approximately 10-20 hours a week, however we anticipate the potential for quickly evolving into a full-time position with greater future earning potential including benefits, bonuses and share options.
**QUALIFICATIONS**:
**Must Have**:
- Minimum 2-3 years’ experience in an administrative, bookkeeping, office or executive assistant role.
- Excellent professional oral and written communication skills.
- A highly proactive approach with the ability to take the initiative while
consistently looking for ways to streamline and improve process and systems that contribute to the efficiency and profitability of the team and company
- Excel at handling multiple diverse tasks and staying organized in a dynamic and fast paced environment.
- Excellent customer service skills
- Excellent attention to detail with strong analytical skills including financial analysis, cost and savings analysis.
- Flexibility and creativity and enjoy diversity of responsibilities.
- Adaptability to change with ability to pivot and take projects to completion.
- Ability to create engaging and professional presentations and proposals including possessing strong grammar, punctuation and spelling skills.
- Must own a laptop and cell phone (BYOD)
- High degree of dedication, integrity and honesty.
- Entrepreneurial spirit, excited by technology and tech startups
**Nice To have**:
- Knowledge of two-sided managed marketplaces or eCommerce an asset.
- Knowledge of CRM Applications an asset ex: HubSpot, ZohoCRM, ZohoCampaigns or similar.
- Procurement or Project Management experience an asset.
