The (Female) Assistant to Project Manager will provide administrative and program support by preparing meetings, handling information requests, preparing correspondence, receiving visitors, book keeping, arranging conference calls and conducting research.

DUTIES AND RESPONSIBILITIES
- Organize program committee meetings that include: scheduling meetings, preparing documents, booking meeting rooms and taking/distributing minutes
- Prepare memos, letters, partnership agreements and other documents for internal and external purposes
- Collect and file relevant research, statistical information, policy briefs and other documents as released
- Coordinate staff presentations at conferences, Seminars and outreach events
- Coordinate requests for conducting research at CPSG and presenting to clients or staff
- Maintain up-to-date lists of clients and provide updates as requested
- Assist in the execution of various events hosted by programs
- Identify opportunities for community engagement and partnerships
- Attend community meetings as required
- Attend and participate in CPSG events
- Other duties as assigned by the Project Manager

QUALIFICATIONS
- Bachelor’s Degree in Business Administration or Communication or Social Work
- Two years’ experience in a high level administration position preferably directly supporting a senior executive
- Experience with and understanding of complex and varied non-profit social services programs is required
- Ability to work independently to meet deadlines and complete projects
- Excellent oral and written communication and time management skills
- Strong analytical, organizational and interpersonal skills with sound judgment and a diplomatic approach
- Excellent organizational skills and ability to multi-task and prioritize
- Thorough knowledge of business English
- Excellent word processing and computer skills including Microsoft Office Suite
- Professional attitude and leadership skills
- Ability to handle confidential and critical information
- Second language is an asset

Time Period

This position requires a minimum 6 month commitment for 5 days per week during office hours (Monday to Friday from 9:00 am to 5:00 pm). Flexible schedule for an average of 35 hours per week, with some evening and weekend hours to support board meetings and special events.
