**Key Responsibilities**:

- ** Schedule Management**:

- Create, update, and maintain caregiver schedules, ensuring all shifts align with client needs and preferences.
- Monitor schedules proactively to avoid gaps in coverage and maintain accurate records in the scheduling system.
- ** Coordination and Communication**:

- Act as the primary contact for caregivers regarding shift assignments, updates, and availability.
- Foster strong, supportive relationships with caregivers to ensure smooth scheduling operations.
- ** Conflict Resolution**:

- Address scheduling conflicts such as last-minute cancellations, shift swaps, and availability changes efficiently.
- Employ critical thinking to resolve challenges and maintain seamless client care.
- ** Client and Caregiver Collaboration**:

- Partner with care coordinators to understand client needs, preferences, and special care requirements.
- Communicate scheduling details clearly to caregivers and ensure they are informed of any changes.
- ** Administrative Excellence**:

- Maintain accurate and up-to-date scheduling records, caregiver files, and reports.
- Ensure precise data entry and effective use of scheduling software systems, including Alayacare.
- ** Emergency Support**:

- Be available to assist with urgent scheduling needs, including unexpected client requests or caregiver changes, to prevent disruptions in care.
- ** Process Improvement**:

- Assess scheduling workflows and identify opportunities for increased efficiency.
- Collaborate with the Scheduling Manager to implement new procedures and best practices.

**Qualifications**:

- ** Experience**:

- 2-5 years of scheduling, coordination, or administrative experience, preferably in healthcare or home care.
- Familiarity with scheduling software (e.g., Alayacare) is an asset.
- ** Skills & Competencies**:

- Strong organizational skills with meticulous attention to detail.
- Excellent verbal and written communication abilities.
- Proven problem-solving skills and the ability to handle multiple priorities effectively.
- ** Technical Proficiency**:

- Proficient in Microsoft Office Suite (Excel, Word, Outlook) and other scheduling tools.
- ** Adaptability & Reliability**:

- Able to thrive under pressure, adapt to changes quickly, and maintain a calm and professional demeanor.
- Flexible with scheduling to support after-hours or emergency needs as required.
