The position holder plays a central role in the planning, logistics, and execution of the company’s event and promotional initiatives. She serves as a key resource person, capable of coordinating multiple projects at once, anticipating needs, and proposing solutions, while ensuring necessary approvals are obtained from management.

Demonstrating strong autonomy in executing assigned tasks, she collaborates closely with various departments and suppliers to ensure the smooth execution of events, brand consistency, and the quality of deliverables. She provides essential support to management to align marketing and event operations with organizational objectives.

**TASKS AND RESPONSIBILITIES**
- Develop work plans for event logistics (timelines, assignments, follow-ups) in collaboration with management.
- Conduct necessary research on venues, suppliers, partners, and logistics solutions, and present clear recommendations for approval.
- Coordinate all logístical aspects before, during, and after events (registrations, deliveries, signage, materials management, etc.).
- Serve as the point of contact on-site during events, ensuring proactive presence and effective issue resolution.
- Supervise and support student volunteers acting as additional logístical resources during events.

**INDEPENDENT ADMINISTRATIVE AND OPERATIONAL SUPPORT**
- Manage tools and documents needed for project coordination (calendars, task lists, databases, templates).
- Closely monitor approved budgets for events and produce expense reports for validation.
- Prepare post-event reports and suggest improvements in a continuous improvement mindset.
- Maintain quality relationships with suppliers while submitting contractual agreements to management for approval.

**PROPRIO DIRECT REGIONAL TOUR**
- Ensure the logístical coordination of 8 regional events across Quebec (May-June), in collaboration with the operations team.
- Be present on-site during events (frequent travel, up to 50% of the time during this period).
- Ensure all necessary resources are in place (visibility, materials, supplier presence, welcoming).
- Supervise student volunteers on-site as support and observational resources.

**CORPORATE EVENT COORDINATION**
- Oversee the organization of corporate events through her team.
- Ensure the event budget is respected by all team members.
- Ensure that all communication materials (invitations, brochures, posters) meet expectations.
- Ensure team members meet deadlines.

**REQUIRED QUALIFICATIONS**
- Degree in communications, event management, or a related field.
- 4 to 6 years of experience in a coordination role (events, marketing).
- Strong autonomy, initiative, and ability to manage multiple projects simultaneously.
- Excellent collaboration and communication skills with diverse stakeholders.
- Strong organizational skills and attention to detail.
- Proficiency in project management and communication tools (e.g., Wrike, Airtable, Canva, Outlook, Microsoft Office Suite).
- Availability to travel for occasional events.
