We are currently seeking **a Corporate Records Clerk** to join our Corporate Services team. This is a full-time permanent position, working in a team with two Senior Corporate Paralegals and a partner, providing essential administrative support to the department.
**Duties include but not limited to**:
- Meeting Coordination: Managing the logistics for meetings, including scheduling, calendar management, and reserving/preparing boardrooms.
- Regulatory Due Diligence: Conducting comprehensive regulatory and public record searches utilizing platforms such as BC Online, Personal Property Registry (PPR), Land Title and Survey Authority (LTSA), and other ancillary databases.
- Corporate Maintenance: Preparing, reviewing, and electronically or physically filing annual maintenance documents for various corporate entities.
- Financial & Billing Support: Providing direct assistance with client billing and expense processing for the corporate services department.
- Records Modernization: Scanning, organizing, and digitizing corporate records, with a focus on establishing and maintaining virtual minute books.
- Transaction Support: Preparing, managing, and organizing documentation, and providing essential logístical support for complex corporate/commercial transactions.
- Administrative Assistance: Delivering general and specialized administrative support to our Corporate Commercial and Real Estate legal practitioners.
- Office Coverage: Serving as the secondary back-up for Reception coverage during periods when the primary back-up is unavailable.
**Education and Experience**
- Minimum of 1-3 years of experience in a corporate services or legal administrative role, preferably within a law firm environment.
- A demonstrated knowledge of, or strong interest in, corporate and commercial law.
- Must have a strong proficiency in Microsoft Office Suite, particularly Word and Excel.
- Experience with PCLaw and knowledge of BC corporate records including ability to review minute books and ALF records is an asset.
**Skills**
- Strong written and verbal communication skills for effective internal and external correspondence.
- Excellent organizational and time-management skills, with a proven ability to manage a high volume of files and consistently meet critical, time-sensitive deadlines.
- Meticulous attention to detail to ensure accuracy in all records, searches, and filings.
- Ability to proactively manage all administrative functions of the position, including file management
**Job Types**: Full-time, Permanent
