Executive Assistant to The General Manager

**THE OPPORTUNITY**
**DUTIES AND RESPONSIBILITIES**:
- Interact and converse with members, guests, and other employees in a friendly, courteous, and co-operative manner. Maintain a positive and helpful attitude towards members, guests, and other employees.
- Provide administrative support for General Manager and the Board of Directors through the Secretary. Supports other managers from time to time.
- Reception and general office duties to include answering phones, ordering catering, coordinating office upkeep, etc.
- Schedule meetings and interact with members and staff.
- Prepares and distributes the annual Operational Calendar.
- Responsible for coordination, preparation of all Board meetings, and Committee meetings, where requested to do so, preparing minutes of meetings for Secretary’s approval and/or retention third party minute-taker, canvassing for meeting dates, distribution of meeting invitations, agenda and of meeting materials.
- Responsible for coordination, preparation of all Board functions and events including canvassing for dates, arranging and setting up venues and/or virtual attendance platform, including F and B service, as necessary, preparation and distribution of event invitations, agenda and any other event - related materials.
- Responsible for coordination, preparation of all shareholder’s meetings, including Annual General Meeting and any Special Meetings of Shareholders including canvassing for dates, arranging and setting up venues and/or virtual attendance platform, including F and B service, as necessary, preparation and distribution of event invitations, agenda and any other event - related materials, including proxy and statement document.
- Assist Secretary with updating Club By-Laws and Policies and other governance documents, as required.
- Maintain, update and distribute the “Board Book” (digital and paper files) containing current Bylaws, Policies and other governance documents for distribution to new Board members and to current Board members as updated.
- Maintain shareholder registers, record share issuances, transfers, redemptions, cancellations, etc. and all files pertaining to the corporate status of the Osler Bluff Ski Club, including all constating documents.
- Prepare new share certificates.
- Maintain all minute books of the Corporation (digital and paper files).
- File with the requisite governmental authority such corporate documents, notices of change, annual reports etc. as required by the laws governing the Corporation, from time
- to -time.
- Assist in budget preparation and updates.
- Key contact for IT and phone system support
- Supports the Member Guest Experience desk in the ski season as required.
**QUALIFICATIONS**
- Minimum of five (5) years of experience in an executive administrative role preferably in a member-based club or hospitality setting.
- Experience either as corporate secretary or administrative support to a board secretarial function would be an asset.
- Successful completion of a College Diploma in Business Administration or related field would be preferred.
- Advanced proficiency is required in the use of MS Word, Excel, PowerPoint, and MS Outlook. Experience with JONAS would be an asset.
- Ability to perform and communicate in a highly professional and effective manner in a fast-paced environment.
- High level of critical and logical thinking, analysis and/or reasoning.
- Strong time management skills.
- Proven ability to work to tight deadlines with strong judgement and decision-making abilities.
- Detail oriented with excellent proofreading skills.
- Perform all tasks safely in accordance with health and safety policies.
- Flexible, adaptable, and able to execute a range of job duties and changing priorities.
- Possess excellent written communication skills.
- Experience dealing with IT systems (Teams, database software, etc.)
- Possess professional maturity and impeccable integrity.

**Salary**: $65,000.00-$80,000.00 per year
