Plan Group has a state-of-the art facility that showcases the work we do and also provides an open concept office setting for our corporate staff. We are looking for the best person to be the ‘Chief Caretaker’ to maintain the positive atmosphere and to help us optimize our great space and the employee experience.
As **Office Manager** for Plan Group, you will be a proactive caretaker and not just an order taker. You will be the first point of contact for all office related initiatives.

You will be a member of our Health, Safety & Environment team and as **Office Manager** your role will consist of these main areas of focus:
**Facilities** - Office space management, optimization and security
**Reception** - Lead and manage our front reception team
**Travel and Wellness** - Corporate travel bookings and wellness initiatives
**Office Services** - Purchasing of office supplies, furniture, uniforms.
**Events Coordination/Social Committee** - Support corporate golf tournaments, open house and various other office events and initiatives
**Promotional Material** - work with vendors to select and purchase promotional material throughout the year
As **_Office Manager_** you:
- Ensure office space and climate is comfortable and presentable; coordinate meeting rooms and catering upon request
- Act as member of our onboarding team helping to coordinate and assign desk and office space, building security access and parking passes
- Complete weekly facility walkthroughs to maximize our space as well as actively providing solutions to ensure efficiency
- Supervise our reception and office support administrators including mailroom function, scheduling, performance management and annual reviews
- Maintain an inventory of office supplies, review, generate supply requisitions for furniture and equipment
- Negotiate service agreements, secure vendors for the timely maintenance and operation of our office space; track office related expenditures and manage allocated budget
- Initiate service calls and coordinate maintenance services; liaise with property managers to initiate necessary building and ground maintenance as required
- Coordinate track and order field uniforms and company promotional items
- Coordinate company events and golf tournaments. Negotiate venue and vendor agreements, invitations and headcount, audio/visual and other related activities
- Provide support with the management of gas cards, transponders, vehicle repairs and maintenance
**QUALIFICATIONS**
- 5 years’ experience in an Office Manager role
- Purchasing experience (furniture, supplies, uniforms)
- Proficient with Microsoft Office, in particular Excel
- Passion and interest for the construction industry
- Reception supervision experience an asset
- Experience negotiating service agreements
- Experience with employee engagement initiatives
