We are seeking a dedicated and detail-oriented Service Writer to join our team. The Service Writer will be the primary point of contact for our customers, responsible for managing service requests, providing estimates, and ensuring smooth communication between customers and our repair team. The role requires excellent organizational skills, strong communication abilities, and a thorough understanding of heavy-duty truck repair processes.

**Responsibilities Include**:
Customer Service & Communication
- Schedule appointments as requested for the shop foreman, while balancing customer needs with shop availability. Initiate bookings with customers for routine maintenance.
- Gather details of repair needs, vehicle information, or required signatures.
- Answer questions and serve as a liaison between customers and other Service & Parts Department staff.
- Follow-up on repair status and provide regular updates to customers. Inform customers of any delays to promised completion date/time. Obtain customer consent when additional repair cost is involved.
- Refer customers to Shop Foreman or Service Manager for resolution of service repair or invoicing concerns.
- Assist the Parts Department in similar functions where needed.

Work Orders & Invoice Payments
- Prepare work orders on computerized system, obtain purchase order (PO) numbers as needed, or follow-up according to customer requirements.
- On completion of job, review and transpose technician notes in order to provide a concise and accurate description on the customer invoice.
- Review work orders to ensure shop supplies are billed, and that no back orders are outstanding.
- Submit completed estimates or invoices online via third party fleet maintenance systems to obtain approval and payments.
- Take and process deposits and payments on customer invoices.
- Refer billing issues to Shop Foreman or Service Manager (e.g., customer account on hold or credit limit exceeded).

Filing & Other Duties
- Maintain accurate shop records. File customer work orders and backup on a weekly basis. As space requires, perform file archive so that documents are maintained on file for a minimum of one year after billing. Provide copies for customers as requested.
- Type estimates (as prepared by Shop Foreman) into Word document / template so that it is presentable to the customer.
- Receive and forward phone calls for other departments.

**Qualifications**:

- Minimum Grade 12 (or equivalent), completion of Service Writer or Service Advisor training program an asset
- One year of experience in a comparable position in a commercial truck or automotive repair shop.
- Good organizational skills and attention to detail.
- Strong interpersonal skills for providing a high level of customer service, and for communicating with staff.
- General understanding of mechanical repair is very beneficial.
- Basic computer skills required (MS Office, E-mail, and Internet); experience with computerized business systems (billing and work orders) preferred.
