Office Services Manager

**About the Position**:
The Office Services Manager plays a key role for Hazelview as the first impression and ambassador of the Company. The position will provide a high level of customer service to both internal staff and external stakeholders by responding to their queries in a professional and helpful manner. This position also provides office services management and support to three floors in our head office. The incumbent will possess superior organizational skills with a strong focus on people services, excellent interpersonal skills, along with a high degree of initiative and ability to act independently.
**Key Responsibilities**:
**Reception**
- Answering all phone calls in a professional manner and re-directing calls as appropriate.
- Greet all visitors including investors, clients, business associates arriving at the Hazelview head office.
- Facilitation of meetings, including the preparation of all meeting rooms prior to and following use by external and internal users.
**Office Services**
- Manage the operations and facilities for three floors.
- Co-ordination and processing of all couriers/package requirements (including filling out courier forms/labels and managing office accounts).
- Mail sorting, scanning and delivery to employees (Internal & External Mail)
- Order food for business meetings and internal social events such as monthly birthdays and office parties.
- Assist with planning and organization of office events.
- Ensuring office space is clean/organized and maintained to a high standard, including boardrooms, kitchen, and copy room, by conducting daily walk through of the floor
- Ordering of supplies for kitchen, ensure cabinets are stocked, keeping kitchen tidy including filling and emptying dishwasher daily and cleaning the coffee machines.
- Pro-actively order office supplies, ensuring cabinets are stocked with paper, supplies and materials.
- Manage, update and maintain office floor plans and parking spots on a regular basis.
- Order business cards
- Coordinate any desk or departmental office moves and set up of any new hire’s desk.
- Manage building fobs which includes setting up fobs for new employees
- Participation in the office’s Joint Health & Safety Committee and Social Committee
- Assist with the oversight and management of office claners.
- Manage any repairs or maintenance required (dishwashers, TV, doors, printers etc.) and schedule contractors where necessary.
- Weekly walk through of buildings to ensure high building standards are maintained (temperature, art, décor, lights, other needs)
- Assist with the management of the building’s heat and lighting systems.
- Prepare and submit expense reports for the office monthly.
- Other ad-hoc duties/projects as assigned.
**Job Requirements**:
**Education and Experience**:
- A minimum of 2 years of experience in an Administrative, Reception or Office Management position.
- College diploma in Business Administration or related field.
**Qualifications**:
- Superior customer service and communication skills (both written and verbal).
- Ability to work independently as well as part of a team.
- Superior organizational, time management and multi-tasking skills.
- Strong computer skills including Microsoft Office (Excel, Word, PowerPoint, Outlook).
- Excellent interpersonal skills are essential, including working effectively with management and staff at all levels of the organization.
- A common-sense approach to solving problems and a high attention to detail.
- Ability to resolve logístical issues, a demonstrated high degree of integrity, diplomacy, discretion and confidentiality.
- Ability to meet deadlines and manage time wisely.
