**POSITION OVERVIEW**

Reporting to the Principal Leasing Director and the Senior Leasing Director, the Leasing Assistant will provide administrative support to the Principal Leasing Director as well as the Senior Leasing Director.

The main responsibilities will be:

- Keeping all rental platforms up to date with regard to availability and the various transactions concluded, ensuring that all related information is up to date and managing relationships with suppliers;
- Altus insite
- Loopnet/Co Star
- Website (coordination with internal marketing department)
- Other relevant platforms
- Develop and maintain availability lists and schedule them to be sent to brokers in the industry;
- Maintain plans of vacant space up to date;
- Maintain up-to-date leasing pipeline documentation and ensure its accuracy;
- Collaboration with the finance team to validate the accuracy of transaction information for related teams;
- Assist in the drafting of rental proposals or letters of intent, as directed by the Senior Director;
- Assist in entering rental information into the annual budget;
- Preparation of presentations for management and leasing committees;
- Drafting of LNE forms according to the instructions of the rental team;
- Screen calls for the rental team and distribute calls to the appropriate team members;
- Coordinate the flow of documentation with the legal team;
- Maintain and update the broker database and coordinate with brokerages in Montreal, Quebec and Ottawa, Western Canada, to ensure the accuracy of information;
- Scheduling of meetings and client visits;
- Processing invoices, preparing purchase orders related to the rental team (space plans, commissions, etc.);
- Follow up on MERX and SEAO (tendering system) for relevant space enquiries;
- General coordination/liaison between the leasing team and related teams (property management, marketing, legal, accounting, finance);
- Any other related tasks.

**REQUIREMENTS**
- Commercial Real Estate Experience
- Fluency in French and English, spoken and written;
- Proficiency in Office suite software (Word, Excel, Power Point and Outlook). *Fluency in English is required, as the position involves communications with various regions of Canada as well as tenants;
