**Role Overview**
The Gentle Procedures Clinic is excited to announce that we are growing We are seeking an exceptional Medical Office Administrator to join our team and play a pivotal role in supporting our Mississauga clinic. As the first point of contact for patients and visitors, this individual will be instrumental in ensuring the smooth daily operation of the clinic, delivering an outstanding patient experience, and supporting our medical staff to provide high-quality care from day one.
**Key Responsibilities**
**Patient Management**
- Welcome and greet patients upon arrival to the clinic.
- Schedule and confirm patient appointments efficiently.
- Oversee patient flow to minimize wait times and maximize satisfaction.
- Collect and accurately record patient demographic information.
**Records & Documentation**
- Maintain confidential electronic health records (EHR) in compliance with privacy standards.
- Update patient information as needed to ensure accuracy and completeness.
- Process incoming and outgoing referrals promptly.
**Financial Duties**
- Process patient payments and manage point-of-sale transactions.
- Oversee billing procedures and ensure accurate invoicing.
- Track and maintain financial records for the clinic’s administrative needs.
**Office Operations**
- Order and maintain office and medical supplies to ensure the clinic is well-stocked.
- Manage inventory and track usage of materials and equipment.
- Maintain overall office organization to support a clean and efficient working environment.
- Troubleshoot and resolve basic issues with office equipment as they arise.
**Staff Support**
- Relay messages and communicate effectively with medical and administrative staff.
- Assist with preparation and coordination of staff meetings.
- Support onboarding and provide training to new team members as needed.
**Clinic Setup**
- Contribute to maintaining, establishing and refining organizational systems.
**Qualifications & Skills**
- Experience: Previous experience in medical administration or reception is required, preferably within a private practice/clinic setting or medical call centre.
- Soft Skills: Excellent verbal and written communication abilities, strong organizational and multitasking skills, keen attention to detail, and a patient-focused approach.
- Attributes: Ability to work independently, exercise sound judgment and problem-solving skills, adapt to changing circumstances, and thrive in a fast-paced, growing environment.
