_**Position Summary**:_
- Provide administrative support to the Chief Executive Officer, Board Chair and Board Members
- Provide administrative support to the CEO’s direct reports, as required
- **Main Responsibilities**:_

**Support to Board of Directors**
- Prepare and distribute the material for meetings of the Board and Board Committees.
- Key organizational contact for the members of the Board of Directors relating to meeting coordination, information requests and ongoing support.
- Take accurate minutes at all Board and Committee meetings and distribute accordingly
- Maintain Board policies.
- Ensure Board Members have completed necessary paperwork and training including criminal reference checks, annual self-declarations and legislated training i.e. AODA.
- Maintain and update Board Orientation Manual.
- Maintain discretion and confidentiality with regard to files and sensitive issues
- Organize the Annual General Meeting including agenda and other tasks as required and take minutes at the AGM.

**Support to Chief Executive Officer**
- Coordinate appointments, schedule reservations and make travel arrangements.
- Prepare and/or edit communication as required.
- Act as primary for contact with the CEO when unavailable.
- Assist with CEO Monthly Expense Report and submit to Finance.
- Administrative support to provincial and other community committees as required.
- Administrative support to HR/IT/Finance Managers as required.

**Other Duties**
- Maintain a central record of legal contracts, communication and documentation; ensure employee human resource files are up-to-date and accurate.
- Comply with Centre’s policies and procedures as amended from time to time.
- Participate in department and centre meetings and committees as required.
- Maintain strict confidentiality regarding all information pertinent to clients and their families, employees, students and volunteers employed by/associated with the Centre.
- Assume other duties as assigned in accordance with experience, training, and qualifications to which legislated requirements may be applicable.
- **Qualifications**:_
- Minimum of 2 years of experience in an Executive Assistant position is required
- Graduate of a post-secondary program in business administration is preferred
- Experience working in a non-profit organization, working closely with a Board of Directors is preferred
- Must be available to work into the early evenings during Board and Committee meetings
- Exceptional ability and skills in verbal and written communication, organization, problem solving
- Strong detail orientation and reliability
- Ability to effectively utilize technology, including Microsoft Office 365
- Strong interpersonal skills with the ability to build relationships with staff at all levels
- Proven ability to interact effectively and professionally with the public and other stakeholders as a Centre ambassador
- Highly effective time management skills including prioritization, multi-tasking and the ability to work within strict deadlines
- Ability to be extremely discreet and work with a high level of confidentiality
- Demonstrate the ability to work collaboratively with FCCC staff and with other professionals in the community
- Valid driver’s license, access to a vehicle and ability to travel required
- Proof of 3 COVID-19 vaccinations is a job requirement

**Job Types**: Full-time, Permanent

**Salary**: $49,009.00-$55,359.00 per year
