**Job Summary**

**Key Responsibilities**:

- **Schedule Management**_
- Manage the CEO's complex calendar across multiple businesses, including internal and external meetings, travel arrangements, and personal commitments
- Ensure the CEO is prepared for all meetings with necessary materials and information
- Coordinate and schedule meetings with property owners, investors, team members, and external partners
- Make travel arrangements including flights, accommodations, and transportation
- Balance priorities across different business ventures and personal commitments
- **Communication Management**_
- Draft correspondence, presentations, and other documents for the CEO
- Liaise with senior management teams across multiple businesses, board members, and external stakeholders
- Represent the CEO in communications when appropriate
- Maintain confidentiality of sensitive information at all times
- Manage communication flow between different business entities
- **Administrative Support**_
- Prepare reports, presentations, and other materials for meetings and presentations
- Organize and maintain digital and physical filing systems for easy retrieval across multiple businesses
- Process expense reports and manage receipts for business and personal expenses
- Coordinate logistics for company events, meetings, and conferences
- Take notes during meetings and distribute action items to relevant parties
- Assist with administrative tasks for all businesses under the CEO's management
- **Project Coordination**_
- Assist with special projects as assigned by the CEO across various businesses
- Track progress of various initiatives and provide regular updates
- Research information needed for decision-making
- Help prepare materials for investor meetings and presentations
- Coordinate with various departments to ensure project completion
- Help manage transitions between different business priorities
- **Personal Assistant Duties**_
- Manage personal calendar and appointments
- Coordinate personal travel arrangements and itineraries
- Handle personal correspondence and communications
- Assist with personal shopping, gift selection, and special occasions
- Manage household vendors and service providers when needed
- Coordinate family events and activities as requested
- Run personal errands and handle other personal tasks as needed
- **Multi-Business Support**_
- Maintain awareness of priorities across all business ventures
- Assist with coordinating resources between different businesses
- Help maintain consistent branding and messaging across ventures
- Support the CEO in balancing time and attention across multiple businesses
- Assist with tracking performance metrics for different business entities
- Help prepare for meetings and presentations specific to each business
- **Office Management**_
- Assist with general office management tasks as needed
- Help maintain a positive and productive office environment
- Coordinate with the property management team on various initiatives
- Support other executives when necessary

**Required Qualifications**:

- 1-5 years of experience as an Executive Assistant, preferably supporting C-level executives
- Exceptional organizational skills with strong attention to detail
- Outstanding written and verbal communication abilities
- Proficiency in Google Suite, various AI platforms, High Level CRM & Marketing tools
- Strong time management skills with ability to prioritize and multitask effectively across multiple businesses
- Ability to exercise discretion and maintain confidentiality with both business and personal matters
- Professional demeanor with excellent interpersonal skills
- Problem-solving mindset with ability to anticipate needs
- Adaptability to changing priorities and deadlines across different business contexts
- Experience supporting executives with multiple business ventures preferred
- Experience with personal assistant duties preferred
- Bachelor's degree preferred but not required with equivalent experience
