**Lease Administrator Role**
Reporting to the CFO, the Lease Administrator will be responsible for managing all aspects of lease and property administration for our commercial properties located throughout Canada. This includes maintaining lease records and property maintenance contracts, processing lease documents, and ensuring compliance with lease terms and regulations. The role will involve several teams including, but not limited to: Property Management, Finance, Legal and Business Development to achieve company objectives.
**Accountabilities**:
- Manage lease documentation, including drafting, reviewing, and executing complex lease agreements, amendments, and renewals.
- Working with the business development and legal team, assisting with lease negotiations and lease interpretation as needed.
- Collaborate with the property management team to edit and review property maintenance contracts ensuring compliance with company policies, legal requirements, and industry standards.
- Maintain accurate and up-to-date rent roll and lease records in the property management system.
- Communicate regularly with tenants regarding lease
- and property-related matters, including rent payments, lease terms, and property maintenance issues.
- Collaborate with the finance department to reconcile tenant accounts, operating cost reconciliations, and resolve billing discrepancies.
- Develop and implement best practices and standardized procedures for lease and property management administration processes.
- Prepare reports and analyses on lease performance, occupancy rates, and other key metrics for senior management.
- Stay informed about changes in Canadian real estate regulations and compliance requirements to update lease documents and procedures accordingly.
- Support other administrative tasks and ad-hoc projects as assigned.
**Qualifications**:
- Bachelor's degree or equiv. in Business Administration with Real Estate focus, or related preferred.
- Minimum of 5 years of experience in lease administration or property management.
- Proficiency in Microsoft Office Suite and property management software.
- Strong understanding of lease terminology, legal documents, and real estate contracts.
- Excellent communication skills, both written and verbal.
- Detail-oriented with strong analytical and problem-solving abilities.
- Knowledge of Canadian real estate regulations and compliance requirements.
