**Summary of Responsibilities**

**Key Duties & Responsibilities**

**Facilities Management**:

- Responsible for overseeing and administering preventative maintenance and building fitness appraisals on a scheduled and ongoing basis.
- Manage vendor relations and service level agreements with contractors for building requirements and maintenance services.
- Plan and manage special projects including renovations and upgrades. Oversee the execution of projects, ensuring they are completed on time and within budget. Provide regular updates on project status to key stakeholders.
- Communicate and educate employees and occupants regarding facility updates, maintenance schedules, and potential disruptions.
- Ensure energy efficiency and sustainability practices ensuring HVAC, LED lighting and waste management exceed Yamaha’ s sustainability goals and metrics.
- Provide required documentation for annual insurance renewal, maintain all licensing documentation for Yamaha units.
- Proactively monitor and manage office floorplan to ensure optimal utilization and positive employee experience.
- Anticipate space needs and coordinate seating arrangements to ensure all employees (including incoming new hires) have appropriate workspaces.
- Collaborate with IT, HR and department managers to support moves, new hires and evolving space requirements as outlined in policy and business needs.
- Responsible for the annual preparation of the department expense budget and complete ongoing reviews and updates as they are required for any discrepancies and required revisions to the expense budget.

**Health and Safety**:

- Promote a proactive safety culture where employees are encouraged and empowered to raise safety topics and concerns.
- Be an active member of the Joint Health and Safety Committee. Ensure strict compliance with City of Toronto, provincial and federal safety regulations.
- Maintain up to date knowledge of building codes, safety standards, and regulatory requirements.
- Develop and implement safety protocols and emergency response plans.
- Conduct regular safety audits and risk assessment. Manage and track all inspections, licenses and permits.
- Manage and maintain health and safety policies, procedures, and programs. Identify safety-training needs, recommend and implement solutions.
- Maintain fire safety plan, ensure fire wardens are educated, and employees are trained on fire safety procedures.
- Oversee building safety systems and programs, including maintaining scheduling for yearly/monthly/periodic inspections/testing and necessary repairs for fire alarm system, overhead sprinklers, fire hydrants and fire extinguishers.Respond to emergencies and coordinating evacuation procedures.

**Experience Requirements**
- **Degree/Diploma**:Post-secondary, university preferred
- **Program of Study**:Facilities Management, Operations
- **Years of Experience**:Minimum 5+ years
- **Type of Experience**:Facilities Management, A deep understanding of legal health and safety guidelines

**Skills and Abilities**
- Relevant experience in safety management, risk assessment, and incident reporting/investigation
