Sage Meadows Physiotherapy & Massage is seeking a friendly, dependable, and detail-oriented **Medical Office Assistant / Receptionist** to join our welcoming and fast-paced clinic in Sage Hill. You will be the first point of contact for patients and a key support for our clinical and administrative team.

We are looking for someone with a positive attitude, strong communication skills, and the ability to multitask efficiently in a professional healthcare environment.

Key Responsibilities
- Greet patients and visitors with professionalism and warmth
- Assist patients with intake forms, consent documentation, and insurance details
- Schedule, confirm, and update appointments using Jane App software
- Collect payments, manage billing, invoicing, and insurance documentation
- Prepare, submit, and track insurance and motor vehicle accident (MVA) claims
- Communicate professionally with insurance adjusters to obtain approvals, file reports on time, and keep documentation organized
- Maintain accurate records of approvals and ensure therapists are informed of claim status updates
- Keep the clinic clean, organized, and presentable throughout the day
- Assist therapists in maintaining efficient workflow and patient coordination
- Order and manage clinic supplies and handle minor maintenance coordination
- Support the Clinic Director and Administrative Team in day-to-day operations
- Participate actively as part of a collaborative and patient-focused team

Qualifications & Skills
- Prior experience working in a physiotherapy, chiropractic, or healthcare clinic is a strong asset
- Knowledge of insurance claim submission, direct billing, and adjuster communication is highly preferred
- Ability to read and interpret insurance approvals and communicate updates clearly to therapists
- Proficiency with Jane App or similar EMR systems
- Excellent spoken and written English; additional languages such as Punjabi, Hindi, Cantonese, or Mandarin are an asset
- Strong organizational, administrative, and time management skills
- Reliable, adaptable, and capable of handling multiple priorities independently
- Flexible to work evenings and weekends according to clinic hours
- Own transportation preferred
- Must be legally eligible to work in Canada
