We are a well-established, local auto-care company seeking a friendly, hard-working, and experienced Office Admin & Customer Service Specialist to join our front desk team.

As part of our team, your duties will include:

- Book appointments and answer questions about packages and services, pricing, duration, etc. Suggest offerings and upsell services where possible.
- Greet customers and confirm services, customer info, and create estimates/invoices, ensuring proper notes and due times are captured.
- Arrange shuttle rides and customer pick-up and drop off.
- Complete customer auto glass claims including gathering claim information, ordering parts, taking pictures, and communicating with insurance companies.
- Monitor status of retail vehicles and call customers in advance to advise of completion times.
- Confirm completed job with customer and collect payment for services.
- Coordinate with various internal and external entities including Auto Glass, Car Wash, Shop Managers, Wholesale Dealerships, Rental Car Agencies, and Window Tinting Contractor.
- Ensure front desk and customer area is clean and tidy.
- Process and sort mail.

Required Qualifications:
Knowledge, Skills, Abilities
- Exceptional customer service skills.
- Knowledge of and ability to use basic office equipment including computers, phones, printers, and scanners.
- Proficiency in Google Suite.
- Understanding of basic accounting principles including accounts payable and accounts receivable.
- Extreme attention to detail.
- Excellent verbal and written communication skills
- Ability to think critically, ask clarifying questions and solve complex issues.
- Ability to be flexible and adapt to changing schedules and priorities.

Training and Experience
- Minimum 1-2 years of Customer Service experience in any industry is required, preferably in the retail or hospitality sector.

**Licenses, certificates and registrations**
- Successful completion of secondary school.

Preferred Qualifications:

- Experience with QuickBooks.
- Experience processing insurance claims
- Second language
- Class 5 driver’s license considered an asset.

Must be available to work anytime during our business hours (8am-5:30pm). Saturday availability is required. We are closed on Sundays and statutory holidays.

**Job Types**: Full-time, Part-time, Permanent
Part-time hours: 24-40 per week

**Salary**: $17.00-$20.00 per hour
