Human Resources Assistant

The HR Assistant, under the general direction from the HR Manager, supports the human resources function across all AV North locations/departments, providing day to day professional HR and administrative support services. This position will provide support working with all levels of staff to provide professional services, maintain organizational efficiencies, and promote a positive working environment. The HR Assistant performs all duties with a high level of tact, discretion and confidentiality. This position will also support the organization by keeping HR data up to date including employee information, benefits, and wages. In addition, this role is responsible for maintaining internal and external communication channels. As a part of the HR Team, in this role, HR Assistant will adhere to the organizational culture and champion programs to cultivate and sustain a corporate strategy of growing our people and talent.
**DUTIES/RESPONSIBILITIES**:
- Assist HR team in implementation of personnel strategies including policies and procedures to address company human resource requirements and assist departmental managers in administration of such, as required
- Maintain personnel files and HRIS systems by timely and accurate data entry
- Assist in monitoring company compliance with applicable legislation and its regulations such as ESA, OHRC, PIPEDA, OHSA, AODA, etc.
- Plan, organize and conduct employee information meetings and corporate social, wellness and community events
- Participate in various joint committees: JHSC, Social Club, ISO., etc., take minutes as needed
- Assist in coordinating employee performance and appraisal system
- Maintain company boards and JHSC boards and required postings
- Coordinate, create and distribute corporate newsletter and other company announcements
- Organize and maintain employee information areas for notices and sign-ups
- Coordinate and maintain vibrant corporate Social Media accounts
- Coordinate corporate and employee merchandise orders and maintain accurate records of inventory levels
- Ensure timely and accurate reporting of workplace injuries to WSIB
- Assist in coordinating internal and external recruitment and selection activities: including advertising, screening, conducting interviews and performing background checks
- Notify applicants of results of selection process and prepare job offers and employment contracts
- Assist in coordinating apprenticeship, cooperative education and summer youth employment programs
- Represent the company at community outreach events such as job fairs, conferences and public sessions
- Conduct orientation session for new hires
- Maintain employee training records and sign-offs
- Provide overall support to HR Manager, Payroll/HR Administrator, Senior Management and Department Heads.
- Other duties as assigned
REQUIRED SKILLS & ABILITIES
- Effective communication (verbal and written) and customer service skills
- Proficiency with computers and Microsoft Office.
- Experience in handling confidential information and working productively in a highly functional team environment.
- Ability to plan and complete daily activities with mínimal direction and effectively meet deadlines in a high-pressure environment.
- Exceptional accuracy and attention to detail
- Problem-solving skills to troubleshoot and get to the root of discrepancies.
- Experience within a manufacturing setting is considered an asset.
REQUIRED EDUCATION & EXPERIENCE
- Post-secondary degree or diploma in Business Administration, Human Resources, or related field
- Working knowledge of Ceridian Dayforce is an asset
- CHRP and/or CHRL (or working on) designation is an asset
WORKING CONDITIONS & PHYSICAL REQUIREMENTS
- Sitting for prolonged periods of time focusing on computer monitor.
- Dealing with frustrating situations, time pressures and frequent interruption.
- Ability to concentrate.
- Repetitive keyboarding.
- Must be able to lift up to 5lbs.
