**Job Summary**

**Responsibilities**

**BOOKING AND PROCESSING**
- Liaises with overseas agents & offices, airlines, surface transportation & warehousing vendors to plan activities and provide solutions
- Coordinates movement of shipment deliveries & pickups to ensure that the customers' instructions are followed
- Manages all aspects of freight transportation, including booking of shipments, updates of status reports & customer service, tracking and tracing, providing proof of delivery
- Ensures timely availability of shipment to customer through coordination of carriers, distribution of deliveries, warehousing, customs clearance & other surface transportation activities
- Books shipments with the best routing/rate while still maintaining validity of the customer’s quote/needs
- Ensures proper inco-terms on export shipments to determine specific actions required
- Administers receipt of purchase orders from customers & ensures completeness of documentation required in order to obtain customs clearance
- Calculates rate quotes for shipments based on pre-authorized fee schedule from overseas offices
- Issues freight invoices to customers and approves vendor invoices for accounting department
- Addresses any invoice discrepancies that may arise
- Calculates profit & loss end results for each shipment using Profit Share Settlement document, debit notes and/or credit notes
- Issues Profit Share Statement, Debit Note & Credit Note to destination offices and agents for exports
- Follows International rules and Regulations pertaining to other countries to avoid penalties.

**TRACKING SHIPMENTS**
- Traces and tracks shipments on daily basis including co-load shipments
- Contacts carriers, overseas and various warehouses for shipments status and logs shipment information into Galaxy on daily basis
- Manages all pre-booking information that shows port of loading, shipper, PO# or style, shipping line, ETD & ETA dates, pieces, weight, dimensions

**CUSTOMER SERVICE AND COORDINATION**
- Responsible to ensure that customer requirements are adhered to when planning and executing shipments
- Responsible for pro-actively communicating status of customer shipments and mitigating any delays
- Provides logistics solutions to customer needs by coordinating with product lines and pricing
- Coordinates all services to be handled by single contact personnel such as calls from customers, brokers and truckers to provide the required information
- Liaises all services between Customers, Brokers and Carriers by providing special instructions to carriers and monitoring time sensitive cargo on an hourly/daily basis in order to ensure timely arrival and delivery of cargo
- Adheres to customer requirements prior to shipping and monitors release of containers that have been held by Customs i.e. Canadian Food Inspection Agency (CFIA) and Drug Control
- Coordinates with trucking team including pickup appointment and carrier selection.
- Resolves issues regarding appointment, picking up shipment, waiting time and any other issues when necessary in order to meet customer requirements.
- Ensures that warehouse release operations run smoothly by coordinating with trucking team
- Educates customers on the regulations for exporting to specific countries
- Obtains rates for cartage & warehousing, and negotiates spot rates with overseas offices & agents for customers that require special needs
- Responds to requests for quotations by potential customers by gathering information for clearances & delivery for our overseas offices & agents
- Responds to queries on transportation and warehousing costs to our customers

**MANDATORY DANGEROUS GOODS (DG) TRAINING**
- Incumbent to mandatorily complete all DG training courses, as assigned (ex. IATA Dangerous Goods - Vendor, IMDG Dangerous Goods - Vendor, Right-Shipments to countries with no representation)

**Knowledge, Skills and Abilities Required**
- 1 year college education in International Trade/Customs
- High School Diploma and CIFFA designation required
- Minimum 3 years of experience in International Import transportation, preferably in a Transportation brokerage company
- Advanced knowledge of MS Office, Four-Soft software for E-trans system, Outlook and office equipment
- Certificate in Dangerous Goods - Mandatory (in house Training)
- A self-starter with strong customer service and communication skills, both verbal and written
- Excellent communication, organization, inter-personal, and problem solving skills are required
