**ADMINISTRATIVE ASSISTANT**
- You are a self-starter, a collaborative team-builder, and are confident in your capabilities to provide proactive, high-level Member services and administrative support.

**QUALIFICATIONS**:

- A minimum of 5 years’ relevant employment experience;
- Demonstrated experience and ability to effectively establish priorities and meet deadlines while working in a high-pressure work setting;
- Must have the ability to work independently, set and meet deadlines with mínimal supervision;
- Dedicated to keeping and maintaining confidentiality;
- Strong attention to detail;
- Flexibility, problem solving skills with good judgement in duties and representing the organization;
- Above average oral and written communication skills in the English language.

**ADMINISTRATIVE SKILLS AND EXPERIENCE**:

- Performing receptionist duties, including answering phones, taking messages, receiving daily mail, and greeting visitors;
- Maintaining appropriate filing systems;
- Cross‐training on printing and other functions;
- Membership Course Training arrangements

**COMMUNICATION AND INTERPERSONAL SKILLS**:

- You have demonstrated communication and interpersonal skills, tact and diplomacy to work effectively with staff, managers, suppliers and to provide Member and reception services
- Demonstrated written communication skills to prepare standard correspondence such as letters, memoranda, reports and presentations.
- Respond to member inquiries and forward inquiries to the relevant Staff Representative or Executive member;
- Receive, process and distribute incoming mail; review correspondence and refer to appropriate person or initiate reply as required; process outgoing mail and courier deliveries as required;
**FINANCIAL SKILLS**:

- You have the ability to maintain and monitor the office budget, process invoices and reconcile purchasing card statements and expense claims.
- You have the ability to maintain budget spreadsheets for transfer payment programs, prepare financial letters and budget attachments.
- You have the ability to complete various financial forms and documents.
- Your accounting skills enable you to produce financial reports.
- Receive, deposit and record membership dues and dues forms;
- Work with the per capita databases, including daily deposit, input into the database, daily and monthly balance reconciliation, and support for the annual audit process;
- Bi-Monthly bank deposits

**ORGANIZATIONAL, REASONING, PROBLEM-SOLVING AND ANALYTICAL SKILLS**:

- You have proven organizational, reasoning, problem-solving and analytical skills to:

- Set priorities, respond to demands and work independently;
- Manage the routing of correspondence packages, coordinate meetings, travel accommodation arrangements;
- Compile information for meetings and presentations;
- Maintain filing systems; and
- Deal with confidential information and determine appropriate release of information.

**COMPUTER PROFICIENCY SKILLS**:

- You have the ability to use financial and attendance management systems to produce correspondence and reports to enter and maintain financial and staffing data.
- SAGE50 & Payroll, Adobe, Outlook as well as Microsoft Office Suite

**Experience**:
