The **Project Administrator **is responsible for supporting the Project Manager, Estimating/Engineering and Operations staff in all day-to-day administrative tasks. The Administrator’s primary responsibility is to ensure proper paperwork process is followed on all projects from quote to invoice. The Administrator is responsible for preparing, organizing, reviewing and distributing all contract related paperwork, as well as maintaining very organized project files.

**Responsibilities**:

- Ensure proper document flow is followed, in addition to being the “check and balance” in ensuring that paperwork is filled out as required for final invoicing to be facilitated.
- Ensure all requests for project related document issuance are prepared and completed expeditiously to ensure all contract timelines are met.
- Generate and review invoices on a regular basis and submit to the Project Manager for approval. Confirm customer approval has been provided for invoicing.
- Review purchase orders and confirm authorization limits are being obeyed.
- Oversee daily duties of the administrative department are being met and proper procedures are being followed.
- Issue Purchase Orders and track costs to contract related projects.
- Once invoices are submitted to accounting, post invoices in the system.
- Send monthly reports to the administrators.
- Enter daily Field and Service Operations Staff paperwork on contracts.
- Prepare and track delivery and return dates of rental equipment.
- Match Purchase Orders with packing slips and provide to accounting department.
- Communicate and coordinate with the Project Manager, Estimating/Engineering and Operations Staff for all project related tasks daily.
- Reception coverage as required.
- Ensure work area is clean, secure and well maintained.
- Provide other administrative and clerical support as assigned by the Manager.

**Required Education, Skills and Qualifications**
- Attention to detail - Strong organizational and computer skills.
- Strong interpersonal, customer service and time management skills.
- 1 to 3 years experience in a fast-paced customer service environment with an ability to understand processes and procedures is a must.
- Construction industry experience is an asset.
- Certificate/diploma in administration an asset.

**Job Types**: Full-time, Permanent

**Salary**: $48,000.00-$51,000.00 per year
