**Administrative Assistant Overview**

Everyday People Financial Corp. (“EPF” or “Everyday People”) is changing the way everyday people manage money by helping to rebuild financial health for generational wealth. **Key Responsibilities**
- Provide corporate secretarial support (minute meetings, maintain work plans, coordinate meetings, complete online SEDI filings etc.)
- Organize and maintain board of director portals and materials to ensure optimal efficiency.
- Support senior managers and executives with daily clerical tasks such as word processing, proofreading and expense management.
- Maintain minor personnel processes such as facilitating vacation requests, keeping personnel files current, and facilitating paperwork.
- Develop and maintain a variety of internal and external facing documents, spreadsheets, and presentations.
- Develop and maintain company policies and procedures from various facets of the organization.
- Coordinate administrative support for directors and officers as necessary.
- Make travel arrangements and reservations for executives as necessary.
- Greet and provide general support to visitors.
- Schedule appointments and update calendars
- Implement and maintain office administrative systems, electronic filing, and document control procedures to ensure operational efficiency.
- Manage and coordinate certain schedules, appointments, and travel arrangements for senior management.
- Facilitate internal and external communications by preparing and distributing memos, newsletters, and updates to keep staff informed of company developments and policies.
- Assist with the procurement of office supplies and equipment and the monitoring and coordination of the office.
- Coordinate the planning and execution of events, meetings, and conferences to ensure they meet organizational objectives and budget constraints.
- Responsible for the management of all incoming and outgoing mail and courier services.

- Strong interpersonal skills with ability to build effective working relationships with internal and external stakeholders
- Proven ability to effectively communicate with senior leaders and board members
- Solid knowledge of MS Office suite
- Proven work experience, minimum 3 years, as a senior administrative assistant, or executive administrative assistant
- Working knowledge of office equipment, like printers and fax machines
- Secondary school
- **A work sample will be required as part of the pre-interview screening process.**
