PulseMedica is searching for an energetic, tech-savvy **Executive Assistant** to join our world-class team. The Executive Assistant will serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Executive Team (CEO, and COO). The Executive Assistant will also serve as a liaison to the board of directors and senior management teams, organize and coordinate executive outreach and external relations efforts, and oversee special projects. **About Us** PulseMedica, recently Great Place to Work certified, is a fast growing ophthalmic medical device company that is determined to reduce ophthalmic disease and disability by offering novel treatment options. Our platform combines machine-learning, real-time three dimensional eye imaging and high precision laser surgery platform. Our goal is to revolutionize ophthalmic treatments by providing people with exceptional outcomes and, ultimately, changing the world by preventing blindness and disability resulting from eye diseases. **The Opportunity** **The person will be responsible for**: - Completing a broad variety of administrative tasks for the CEO and COO including: managing multiple active calendars of appointments; completing expense reports; composing and preparing correspondence that is, at times, confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. - Planning, coordinating and ensuring that the Executive Team's schedule is followed and respected. Providing a "gatekeeper" and "gateway" role, creating win-win situations for direct access to the Executive Team's time and office. - Communicating directly, and on behalf of the Executive Team, with Board members, and others, on matters related to Executive Team's programmatic initiatives. - Researching, prioritizing, and following up on incoming issues and concerns, including those of a sensitive or confidential nature. Determining appropriate course of action, referral, or response. - Providing a bridge for smooth communication between the Executive Team and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff. - Working closely and effectively with the Executive Team to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acting as a "barometer," having a sense for the issues taking place in the environment and keeping the Executive Team updated. - Managing a variety of special projects for the Executive Team, some of which may have organizational impact. - Successfully completing critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the Executive Team's ability to effectively lead the company. - Prioritizing conflicting needs; handling matters expeditiously, proactively, and following-through on projects to successful completion, often with deadline pressures. **Qualifications** - 5+ years of experience supporting C-Level Executives, preferably in a fast-paced start-up environment. **What you bring** - Proficiency in G-Suite productivity tools such as Gmail, Drives, Docs etc. - Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. - Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment. - Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors. - Expert level written and verbal communication skills. - Demonstrated proactive approaches to problem-solving with strong decision-making capability. - Highly resourceful team-player, with the ability to also be extremely effective independently. - Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response. - Forward looking thinker, who actively seeks opportunities and proposes solutions. - Ability to act with integrity, professionalism, and confidentiality. **Duration**: Full time Permanent (40 hours per week) **Salary**: Commensurate to experience and qualifications **Location**: Edmonton **What you can expect from PulseMedica**: - Competitive compensation, group benefits and the option to participate in our employee stock option plan - Free on-site gym (Jackson’s Gym) - A role that contributes to helping change people’s lives by enhancing their vision - A unique opportunity to build, grow, and be part of a team that is going to revolutionize a multi-billion dollar industry - Growth Opportunities - Monthly team events including competitive skribbl, trivia, arcade competitions etc. - Working for a company that was recently Great Place to Workcertified **Sa
