Overview:
Reporting directly to the Executive Assistant & Office Manager, the Front Office Administrative Assistant is the first point of contact to all guests, suppliers, associates who enter the executive office. He/she will assist all department heads with administrative type of work.
**Responsibilities**:
- Ensure all policies and procedures are followed when ordering casino supplies, furniture and equipment, including drafting Purchase Orders for signature of the appropriate directors, general manager, etc.
- Ensure all purchase orders are entered into the purchase order log, matching incoming invoices with purchase orders, and forward to the junior accountant/AP.
- Record all incoming cheques for the resort in the resort cheque log.
- Compose and post weekly communications bulletin, ensuring information received from all departments is current and ready for distribution in a timely manner.
- Assisting with administrative duties in including
- opening, sorting and distributing all incoming mail and faxes.
- maintaining the administration filing system.
- ensuring confidential documents and proprietary information is handled and filed in the approved manner.
- typing reports, spreadsheets, letters and other documents
- Acting as receptionist for the executive offices, ensuring telephones are answered and visitors are treated in a professional manner, and directing calls and inquiries to the appropriate department.
- To look out for the safety of yourself, co-workers and to follow all Health and Safety requirements in the workplace.
- All other duties as assigned
Qualifications:
- Be familiar with purchase orders and good purchasing practices.
- Have excellent administrative skills including a working knowledge of Microsoft Word, Excel, PowerPoint and Outlook skills, and maintaining a file system.
- Have excellent interpersonal and organizational skills, paying strong attention to detail.
- Be a fast learner and a self-starter.
The casino executive office is located in a high volume traffic area. The incumbent must be able to work in a fast paced, highly demanding office environment.
This position is to report to work five (5) day per week and if required, may be instructed to work additional time due to any special events that may be occurring at River Cree Resort & Casino.
