Job Summary

Reporting to the Commissioner of Public Works, the Executive Assistant provides a wide range of confidential senior level administrative, logístical and organizational support to the Commissioner.

This role ensures the efficient and effective operation of the Commissioner’s Office through proactive management of complex schedules, coordinating communications, and preparing reports and presentations. The Executive Assistant acts as a key liaison between the Commissioner, internal departments/divisions, Council members, external stakeholders, and the public, reflecting professionalism and a commitment to public service excellence. This position plays a critical role in providing functional leadership and oversight to departmental administrative and clerical staff.

**Education**:

- Post-secondary diploma or degree in business, office or public administration, or a related field of study.
- An equivalent combination of education, experience and qualifications may be considered.

**Knowledge**:

- Minimum of five years of senior-level administrative or professional office management experience, with demonstrated expertise in preparing and formatting complex reports, correspondence, documents, financial records, and meeting minutes. Experience in a municipal or government setting is considered an asset.
- Proven experience in exercising independent judgment and discretion when handling confidential operational matters.
- Strong understanding of general office procedures, including financial, budget, records and information management systems.
- Demonstrated initiative and proactive approach to issue management, problem solving and researching or investigating issues requiring resolution.
- Proven ability to navigate and manage political dynamics in the execution of assigned duties.
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook) and various office equipment is required.
- Strong knowledge of legislated (AODA) requirements related to document accessibility.
- In-depth knowledge of executive office operations, the political landscape, and departmental functions, with an understanding of their impact on the Region, its communities, municipal partners, and relevant provincial and external agencies.
- Knowledge of Niagara Region’s corporate management records system (CRMS) enhanced financial management system (EFMS), and time encoding software (Kronos) is an asset.
- Exceptional communication skills, with the ability to engage effectively with staff, public officials, external parties, and the public across diverse platforms, and to prepare clear, professional correspondence, presentations
