We are looking for an **Order Management Specialist** to join our team and help to drive the growth of Charge Solar and the industry as a whole. **Reports to**: Order Management Manager

**Primary Outcome**:

- Ensure that Charge Solar remains the leader in customer experience from order to shipment for solar installers across Canada.

**Position Summary**:

- The Order Management Specialist will play a key role in managing the end-to-end order process. This role is essential to ensuring accuracy and efficiency in each stage, from initial order entry through fulfillment. Primarily serving as an internal point of contact, this role acts as the communication hub for our operations and sales teams, supporting cross-departmental coordination and providing updates promptly. The Order Management Specialist facilitates smooth workflows, manages logistics, and supports Charge Solar’s operational goals through effective and professional communication.

**Primary Responsibilities**:

- Order Processing & Fulfillment: Handle daily sales order processing and fulfillment, ensuring all customer orders move seamlessly from entry to shipment.
- Logistics Coordination: Obtain freight quotes, assist with inventory allocation across multiple warehouses, and coordinate shipping logistics to support timely and accurate delivery.
- Customer Service: Serve as a primary point of contact for order-related inquiries from internal teams, with occasional direct interactions with end-user customers. Responding promptly and professionally to questions about order status, delivery timelines, and product availability.
- Front Desk & Reception Duties: Welcome and assist customers entering the office, providing a positive and professional first impression.
- Data Management: Ensure data accuracy and integrity within the order management system, updating records as needed to reflect real-time information on inventory, orders, and customer accounts.
- Inventory Collaboration: Work closely with Supply Chain, Logistics, Sales, and Accounting teams to monitor inventory levels, coordinate stock transfers, and uphold data accuracy across systems.
- Process Improvement: Proactively identify areas for optimization within the order management process and contribute to continuous improvement initiatives to enhance efficiency.
- Vendor & Carrier Relationships: Maintain strong relationships with approved carrier vendors to secure competitive rates and ensure efficient logistics operations. Liaise with new carriers as needed to accommodate changing business demands.

**Required Qualifications**:

- Minimum of 1 year in a customer service or data-oriented role, ideally within order management, supply chain, or logistics.
- Strong organizational skills and ability to prioritize workload based on business needs in a fast-paced environment.
- Effective communication skills, capable of engaging with both customers and internal stakeholders.
- Experience with inventory management, including multi-warehouse allocations and part number tracking.
- Team-oriented mindset with the flexibility to manage multiple tasks and adapt to changes.

**Desired Qualifications**:

- Experience in the solar, renewable energy, or related industry.
- Familiarity with distribution and logistics in a customer-driven business environment.

Pay: $45,000.00-$50,000.00 per year
