**Community Officer, Special Events**
**SUMMARY**
Reporting to the Director of Community Development, the incumbent: 1) acts as an events resource person, strategically advising and supporting partners in building an engaged and resilient community; 2) plays a key role in the design and production of special municipal events; and 3) is instrumental in ensuring the success and maximizing the impact of events by overseeing their planning, organization and coordination.
This position involves translating the municipality’s vision into milestone events that embody the City’s values. It is more than just a logístical role; it’s a job where experience and discernment enrich event offerings in Dieppe, ensuring coherence and depth in each initiative.
**DUTIES AND RESPONSIBILITIES**
**1. Event development**
- Develop a clear vision for each event, taking objectives and target audience into account
- Work with stakeholders to align concept and content with organizational values
- Set measurable objectives based on resources and budget
- Create engaging experiences with varied activities and facilitation
- Establish and maintain strategic partnerships to support the event
- Measure impact by collecting data on attendance, satisfaction levels, and spin-offs
- Analyze results to identify areas for improvement
- Incorporate lessons learned into future event planning
- Identify volunteer needs depending on the tasks to be performed
- Draft job descriptions that will appeal to volunteers
- Organize training to prepare volunteers for their roles
- Provide tools and resources to support volunteers in their work
**2. Event acquisition and attraction**
- Work with stakeholders to align initiatives with local priorities
- Identify events and tournaments suited to the host facilities and venues
- Help with the preparation of bids to host events, including logistics and incentives
- Support site visits and negotiations with organizers to increase chances that bids succeed
**3. Event support**
- Collaborate with teams to develop planning strategies tailored to event objectives and resources
- Analyze needs and establish a clear timeline and budget
- Advise on necessary permits (street closures, alcohol, noise)
- Help navigate municipal event regulations
- Support logistics planning and management (equipment, support services)
- Offer grants, sponsorships or financial assistance for events aligned with local priorities
- Advise on fundraising, grants and budget management
**4. Human, financial and material resource management**
- Plan and supervise the work of subordinate staff
- Participate in budget planning and coordinate revenues and expenses
- Work with Human Resources on student recruitment
- Supervise student staff (training, evaluation, management of schedules and duties)
- Ensure quality relations between student staff, the public and organizations
- Manage program and event registrations
- Collect registration payments
- Perform any other tasks required for the smooth running of the department
**MINIMUM REQUIREMENTS**
**Education**
- Bachelor’s degree in recreation or leisure studies, marketing, commerce, business administration or a related field, or training in community development
**Experience**
- Five (5) years’ experience in event planning, coordination or support roles, preferably in a municipal or community setting
- Familiarity with municipal regulations, as well as event planning and management policies and procedures (asset)
- Significant staff supervision and project management experience
- Experience in group facilitation and chairing committees and working groups
- Experience in public speaking and making presentations
- Experience in a multicultural setting (asset)
- Experience developing plans and managing sponsorships (asset)
**Driver’s license**
- Class 5
**Knowledge**
- Command of Microsoft Office software (Word, Excel, PowerPoint, Outlook)
- Extensive knowledge of project management principles and techniques, so as to be able to effectively plan, organize and coordinate all aspects of events, while meeting deadlines and optimizing available resources
- Knowledge and understanding of current event-industry trends, and the ability to design original and innovative concepts that captivate audiences and create memorable experiences
- Strong interpersonal communication skills, and the ability to negotiate effectively with clients, suppliers and team members to ensure smooth collaboration and achieve event objectives
**Skills**
- Fluency in spoken and written French and English
