Purchasing Assistant

The Purchasing Assistant plays a vital role in a support position to the Fashion Director and Buy team for Hill’s of Kerrisdale, Hill’s Dry Goods and Ray Rickburn. The Purchasing Assistant is the administrative support for the buy team in peak buying cycles and throughout the year for inventory management of our retail stores and eCommerce platform. The Purchasing Assistant prepares inventory sell-through reports, coordinates communication with vendors, details purchase orders and executes end of season inventory tasks.

**THE ROLE**

As the Purchasing Assistant, you will:

- Prepare pre-buy inventory sell-through reports by vendor and category as directed.
- Maintain vendor sell-through reports weekly, monthly and seasonally.
- Assist the Buyers in preparing purchase orders for new and current vendors.
- Issue all purchase order confirmations to our vendors including confirmation of order, purchase terms, monitoring vendor shipments and resolving any related issues as directed.
- Generate reports to notify the Buy team for item re-orders, vendor returns, and product swaps.
- Monitor stock levels with report analysis and in-store stock review to assist with the coordination of weekly and seasonal stock transfers between stores.
- Assist in creating and distributing vendor product knowledge, story boards, and merchandising directives to the retail teams following the Buyer’s guidance.
- Assist with the planning and execution of promotional activities and events.
- Support the buyer by researching new vendors, forecasting trends, evaluating local and international competitors in all product assortment.

**QUALIFICATIONS**

The Purchasing Assistant has:

- Strong fashion + brand knowledge, aesthetic and style representing our brand.
- Post Secondary Business degree or industry related diploma required.
- Strong Proficiency in Microsoft Suites
- Advanced knowledge of excel
- Experience with data entry and inventory systems
- Excellent communication skills, both written and verbal.
- Detail oriented, organized and able to prioritize and multi-task.
- Ability to adapt and offer flexibility in changing conditions of the buy cycle.
- Experience in fashion retail, inventory distribution or administrative work is an asset.
