**Executive Assistant **(Full Time, Permanent)**
Calgary Homeless Foundation (CHF) guides the fight against homelessness in Calgary. We allocate resources for highest impact and outcomes, maximizing benefits for people experiencing homelessness. Using our custom built database and research methods, we aim to build knowledge and understanding, then work to galvanize the public and political arena to support our objectives where people have the right housing at the right time. In partnership with governments and community, we serve as the trusted advisor on how to leverage our combined resources so Calgarians can journey out of homelessness into a home with the supports they need to thrive.

**The Position**
This role is responsible to provide dedicated executive support to 2 VP's (VP, Stakeholder Engagement and VP, Finance & Operations) on all matters related to internal and external communication and provides occasional administrative support to the Stakeholder Engagement and Business Operations teams.
**Areas of Accountability**
- Act as back up to the Executive Assistant to the President & CEO including supporting the CHF Board of Directors with administrative support.
- Maintains records management and electronic filing for the VP's.
- Manages information and correspondence including the preparation of letters, reports, presentations and responses to various requests for information.
- Researches and prioritizes conflicting requests and requirements, handles confidential matters and proactively follows up on issues and concerns. Determines appropriate course of action, response or direction.
- Liaise with Executive Assistant of the President & CEO office to coordinate briefing notes and/or any updates required for speaking engagements, media requests, external meetings etc.
- Tracks and assists with administration to support the budget of the VP, Stakeholder Engagement and VP, Finance & Operations.
- Assists with pre-work for external meetings for both VP's including agenda preparation, gathering of necessary information, and provides required meeting follow-up.
**Required Education & Experience**
- Post-secondary education in business or office administration, legal assistant, or other relevant program.
- Minimum of 5+ years related experience providing direct senior level administrative support at an Executive Level that includes experience working with a Board of Directors.
- Experience in the non-profit sector or comparable work environment with similar complexity and responsibility including government, public systems (e.g., human services, health, justice) and/or Board and Committee volunteers.
- Certified Administrative Professional (CAP) is considered an asset.
- Demonstrates a high degree of confidentiality and professionalism.
- Ability to anticipate the needs of each VP and manage effectively in a fast paced and rapidly changing virtual and in-office environment.
- Excellent technical and administrative skills with focus on accuracy and attention to detail.
- Proven organizational, coordination and planning skills with demonstrated expertise in schedule and calendar management.
- Ability to critically reflect on and capture key points for meeting minutes and briefing notes and summaries.
- Advanced skills in Microsoft Office Suite, including Word, Outlook, and Power Point. Intermediate skills in Excel.
- A valid driver’s license and vehicle is a requirement to occasionally attend external meetings.
