**Position Description**: An Executive Assistant (EA) plays a crucial role in supporting senior leadership, typically a CEO, executive team, or other high-level managers. Their job duties can vary depending on the organization's needs, but generally include:
- Administrative support:_
- Managing executive schedules, appointments, and meetings.
- Handling travel arrangements, including flight bookings, hotel reservations, and itineraries.
- Preparing and organizing documents, reports, and presentations.
- Coordinating internal and external communications on behalf of the executive.
- Meeting Coordination:_
- Scheduling and organizing meetings, conference calls, and video calls.
- Preparing meeting agendas, taking minutes, and following up on action items.
- Project Management:_
- Assisting with or managing specific projects, ensuring deadlines are met and important in formation is communicated amongst the team members in timely order.
- Coordinating with other departments or teams to execute initiatives.
- Monitoring progress and providing updates to executives on ongoing projects.
- Updating appropriate EPro project tracking tools.
- Assist PMs with project tracking and maintenance of client contact information
- Assist with project close-out including compiling all close-out documents.
- May receive, deliver, and track drawings for specific projects.
- Set up/ coordinate meetings and Field Reviews.
- Stock up the office and manage a list.
- Time Management and Prioritization:_
- Prioritizing the executive's daily tasks, filtering out non-essential requests.
- Handling time-sensitive matters promptly and ensuring the executive's calendar runs smoothly.
- Confidentiality and Discretion:_
- Handling sensitive information with discretion and maintaining confidentiality.
- Managing confidential files and documents securely.
- Office Management:_
- a. Managing office supplies and ensuring the executive’s office is well-organized.
- b. Liaising with IT support for any technological needs or issues.
- Personal Assistance:_
- Occasionally managing personal tasks or arrangements for the executive.
- Handling personal appointments, errands, or family-related matters.
**Qualifications and Experience**:
- A Certificate in Business Administration or a similar program is preferred.
- Minimum of 1 year of administrative or related experience.
- Must have a valid driver’s license and personal vehicle.
**Skills and Capabilities**:
- Good interpersonal skills; a person who listens well, respects the diversity of opinions, and has an open, clear, and succinct communication style.
- Effective organizational and time management skills in handling multiple projects, performing a variety of tasks, and meeting required deadlines.
- Application knowledge of programs (including Microsoft Office 365, SharePoint, etc.).
- Able to take on new/additional roles and responsibilities on a proactive basis.
