The Executive Assistant position is an in person role, located in Winnipeg. We are looking for a professional that will embrace our people first culture while assisting the President, and other management as required, with day to day tasks and forward planning. A proactive person with that works efficiently and can juggle multiple tasks.
**Assistant Responsibilities include**:
- Proactively manage the Executive’s daily schedule of events, tasks and communications.
- Manage sensitive matters with a high level of confidentiality.
- Sustain a daily calendar of meetings and events.
- Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization.
- Arrange travel and accommodations for executives. Prepare expense reports.
- Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
- Excellent communication and time management skills; proven ability to meet deadlines.
- Ability to function well in a high-paced environment; performs additional duties as assigned by executives.
- Manage the Executive's contacts.
- Assist in preparing and managing presentations and decks.
- Welcome the Executive’s guests by greeting them, in person or on the phone; answering or directing inquiries.
- Represent the company in a positive light through great follow-through skills and sound judgment.
- Reading, researching, collecting and analyzing information as needed, in advance.
- Complete ad hoc projects as assigned
- Coordinate and book travel
**Assist Director of HR with the following**:
- Maintain digital and electronic records of employees.
- Schedule meetings, interviews, HR events and maintain agendas.
- Coordinate training sessions and seminars.
- Perform orientations and update records of new staff.
- Complete internal paperwork and internal interviews.
**Experience & Skills**:
- 5+ years of related experience required in working in an executive assistant role supporting C-Level executives
- Proactive in nature
- Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
- Ability to communicate effectively and professionally
- Great attention to detail
- Excellent communication skills
- Outstanding organizational and time management skills
- Excellent verbal and written communications skills
- Discretion and confidentiality
- Personal Assistant diploma or certification is a plus
- Background in HR is a bonus, but not essential
