**Overview**

We’re looking for a proactive, detail-focused Operations Manager to join and support a growing real estate and mortgage financing team at Coldwell Banker Neumann. This role is ideal for someone who thrives on organization, excels at building efficient systems, and understands how to streamline the behind-the-scenes operations that empower agents to succeed.

**Key Responsibilities**
**Operations Management**
- Supervise admin staff, coordinate schedules, and manage project timelines
- Design and refine workflow systems to improve team productivity and communication
- Monitor internal processes and performance metrics to support business goals
- Keep listing templates and software tools up-to-date and relevant for agent use
- Maintain a comprehensive office procedures manual
- A focus on generating new business and repeat business
- Implement an effective strategy to utilize our Client Relations Management system

**Marketing Coordination**
- Manage all listing and team marketing initiatives
- Liaise with our in-house marketing specialist to create effective content
- Ensure brand consistency, support social media strategy and help create effective newsletters

**Team & Client Support**
- Assist in onboarding, training, and supporting new team members
- Use and improve on client care systems (gifts, cards, testimonials, etc.)
- Provide backup support to the team when needed
- Keep CRM and client database accurate and organized for team lead and ensure other agents on the team are using those same systems effectively

**Project & Event Management**
- Organize weekly team meetings, monthly training sessions, workshops, and team events
- Support lead generation efforts through data tracking, reporting, and marketing initiatives
- Assist the Team Lead in business planning, including material preparation for quarterly and/or annual reviews as needed

**Qualifications**
- 3+ years of experience in real estate or a related field
- Strong foundation in office and systems management with a passion for organization
- Proficiency with PropTx (Realm), Cornerstone, Skyslope, Digisign, Webforms, and Docusign
- Experience with Asana or similar program, including automation and integrations
- Excellent communication skills—both written and verbal
- Proficiency in Google Workspace, experience with Mailchimp/Sender, Slack, and Canva
- Able to multitask, adapt quickly, and solve problems in a fast-moving environment
- Proactive, dependable, and resourceful—you’re the one who keeps things on track
- Proficiency with CRM’s like Follow Up Boss, Top Producer, etc.
