**Administrative Associate Job Description**

Position Title: Administrative Associate

Reports to: Service Manager

Status: Permanent, Full-time

Department: Administration Department

**Position Overview**

**Responsibilities**
- Provide excellent customer service by greeting customers, answering phones and general customer inquiries
- Provide logístical and administrative support to ensure efficient operation of the office
- Prepare invoices, credits, process pre-authorized payments, post cash and any related customer billing inquiries
- Enter service agreements and related customer profiles, delivery schedules, and installation notes
- Enter customer and account data, scheduling of deliveries, and implementing changes to account details as result of service change requests
- Reconcile daily routes to ensure billing is accurate and support daily and month-end billing by providing invoices and statements to customers
- Manage requests for WSIB and insurance certificates
- Provide support to Service Manager to ensure updates and accuracy of employee phone directories and essential contact information
- Carry out administrative duties such as filing, typing, copying, printing, binding, scanning, etc.
- Prepare reports for various departments
- Ensure front office and building facilities are neat, welcoming, and professional
- Adhere to all Company policies, procedures, and protocols
- Projects and other tasks may be assigned based on the business needs of the organization

**Skills**
- Advanced knowledge of MS Office Suite programs
- Superior interpersonal and communication skills (written and verbal)
- Experience with database and customer relationship management software
- Excellent problem-solving and analytical skills
- Good time management and organizational skills
- Superior attention to detail and accuracy with data entry
- Ability to take direction and supervision
- Ability to multitask and prioritize demands while balancing workload
- Excellent customer service skills, with a sense of urgency when dealing with customer requests

**Qualifications**
- High School Diploma or equivalent
- Post-secondary graduation from a recognized institution with an office administration diploma is an asset (or equivalent education and experience)
- 1 to 2 years recent related experience, ideally with a small to medium size business
- Customer service experience an asset
